We work across a diverse range of event types, including conferences, meetings, training programmes, incentive events, gala dinners, and awards ceremonies. Our events typically range from 10 to 1,000 delegates and are predominantly delivered throughout the UK, although we also support clients with international venue sourcing and event requirements.

About the Role
This is primarily an office-based position based at our Leeds office (Tuesday-Thursday and WFH on Monday and Friday), with the opportunity and expectation to attend live events on-site when required.
The successful candidate will predominantly manage venue finding enquiries, supporting clients through the venue sourcing, proposal and booking process. In addition, they will assist the wider team with the planning, coordination and delivery of live events, while also managing accommodation room blocks and delegate bookings through our online accommodation booking platform for exhibitions, conferences and large-scale congress events.
The role is varied and hands-on, with additional responsibilities including supporting the company's monthly newsletter, assisting with marketing initiatives, and undertaking general administrative and office duties as required to support the day-to-day operation of the business.

You will work closely with the Managing Director and wider team, gaining valuable industry experience and playing an important role in the continued growth and success of the business.
Key Responsibilities
- Receive, interpret and write detailed event briefs from existing and prospective clients.
- Source venues and suppliers, researching suitable options and obtaining competitive quotations using our automated platform GRATIS/Venue Directory.
- Negotiate rates and terms with venues and suppliers to secure the best value for clients.
- Prepare professional venue proposals and presentations for clients.
- Coordinate venue site inspections and manage contracts through to confirmation.
- Work to strict deadlines, managing client and supplier critical paths effectively.
- Support the team in the planning, management and delivery of events, including the setup and management of event websites, delegate registration platforms and attendee communications using our event management software.
- Research, liaise and negotiate with suppliers, managing event logistics and operational requirements.
- Assist with the planning, on-site delivery and management of events when required, liaising with venues and suppliers, coordinating exhibitor and speaker requirements, and supporting the overall event logistics and delegate experience.
- Set up and manage online accommodation booking pages for exhibitions, conferences and large-scale congress events using our automated event management system, ensuring accuracy and a seamless booking experience for delegates.
- Attend site visits, networking events and educational/familiarisation trips to develop industry knowledge and supplier relationships (this may occasionally involve evening and weekend commitments).
- Manage the company's monthly newsletter and assist with blog content creation.
- Identify opportunities to enhance and improve event delivery, client experience and company processes.
- Deliver exceptional customer service at all stages of the client journey.
- Conduct post-event follow-up calls and gather client feedback.
- Support the Managing Director with ad hoc projects, administrative duties and incoming telephone enquiries.

- Full UK driving licence.

- Experience within an event agency, hotel sales office, conference and events department or venue finding company.
- Experience managing social media channels and content creation.
- Knowledge of the meetings, events and hospitality industry.
- Experience of using Venue Directory / GRATIS
