THE HUNSLET CLUB – Attendance and Exams Officer
The role is term time only across 40 weeks. You will have 12 weeks holiday per year!
We are looking for:
A) A highly organised, proactive and dedicated individual to join our expanding education team.
B) An enthusiastic administrator with excellent communication skills and a keen eye for detail who is passionate about supporting young people's education and achievement.
The salary is negotiable based on qualifications and previous experience!
The successful candidate will support the delivery of the 14–16 Vocational Development Programme by managing student attendance, maintaining accurate learner records, coordinating registrations and claims, and ensuring compliance with awarding body requirements.
Reporting to: Education & Youth Development Manager (EYDM)
Location: The Hunslet Club, Hillidge Road, Leeds, LS10 1BP
Role
To oversee student attendance, maintain accurate learner records, coordinate internal and external vocational qualifications, and provide administrative support to ensure the smooth delivery of the Vocational Development Programme.
Management Supervision and Guidance
You will be responsible to the EYDM for your daily tasks and duties, and the Director of Business & Education for any other matters.
Duties and Responsibilities
Attendance
- Monitor and record daily student attendance and punctuality using the Club's management information systems.
- Ensure registers are completed accurately and in a timely manner.
- Follow up on student absences and lateness with parents, carers, schools and relevant professionals where appropriate.
- Produce weekly and monthly attendance reports for managers and external stakeholders.
- Identify attendance concerns and escalate issues in line with Club procedures.
- Support tutors in promoting positive attendance and punctuality.
- Maintain accurate learner records in accordance with GDPR and organisational policies.
- Work collaboratively with partner schools to ensure attendance information is shared appropriately.
Vocational Qualifications
- Coordinate the administration of all external awarding body registrations and claims.
- Liaise with awarding organisations to register learners, make examination entries and process certification.
- Ensure examination arrangements comply with awarding body regulations and Joint Council for Qualifications (JCQ) requirements where applicable.
- Ensure materials are securely stored and handled in accordance with regulations.
- Process qualification results and distribute certificates securely.
- Maintain accurate records and support internal and external quality assurance activities.
- Update student progress trackers at checkpoints throughout the academic year.
Administration
- Maintain accurate learner files and documentation.
- Update databases and management information systems with student information.
- Produce reports for funding, quality assurance and performance monitoring.
- Respond professionally to enquiries from students, parents, schools, awarding organisations and external agencies.
- Support enrolment, induction and student recruitment activities.
- Assist with general administrative duties within the Education Department as required.
- Lead on completing student reports half-termly.
Quality Assurance
- Maintain accurate records to support audits, inspections and quality assurance processes.
- Ensure all learner documentation complies with awarding body and funding requirements.
- Support internal verification and external moderation processes by providing accurate learner information and documentation.
- Keep up to date with awarding organisation requirements and relevant examination regulations.
- Contribute to continuous improvement within the Education Department.
Student Support
- Promote excellent attendance and punctuality through positive engagement with students.
- Support students during examination periods by providing clear guidance and information.
- Signpost students to appropriate support services where attendance or wellbeing concerns are identified.
- Build positive relationships with students, parents, carers and partner schools.
General
- Comply with all safeguarding procedures, including the promotion of the welfare of children.
- Maintain confidentiality and comply with GDPR legislation at all times.
- Undertake necessary in-house training and address any training needs identified through the appraisal process.
- Have an awareness of Club priorities, activities and membership needs.
- Contribute to the wider life of The Hunslet Club.
- Adhere to the Club's organisational policies and procedures at all times.
- Undertake any other duties appropriate to the post or which may from time to time be reasonably determined by the Director of Business & Education or Chief Executive Officer.
- Participate in student recruitment activities and open events.

Person Specification
Essential
- Experience working in an administrative role, ideally within education.
- Excellent organisational and time management skills.
- High level of accuracy and attention to detail.
- Strong IT skills, including Microsoft Office and database management.
- Excellent written and verbal communication skills.
- Ability to manage confidential information appropriately.
- Ability to prioritise workload and work independently.
- Commitment to safeguarding and promoting the welfare of children and young people.
Desirable
- Previous experience administering examinations.
- Knowledge of awarding body and examination regulations.
- Experience using school or college Management Information Systems (MIS).
- Experience working with attendance monitoring systems.
- Understanding of vocational education programmes.
