Job Title: Property Manager (Maternity Cover - Fixed-term maternity cover contract, expected duration up to 18 months)
Location: In Person - Head Office (WN1 2DN)
Hours: Full Time - Typically Monday to Friday (With occasional evening or weekend work required for viewings, inspections, or client meetings)
Salary: £38,000 per annum plus discretionary bonus scheme
We are looking for an experienced and motivated individual to oversee and manage a portfolio of 120 residential and commercial properties, ensuring high standards of service delivery, legal compliance, tenant satisfaction, and asset performance. The Property Manager will be responsible for all aspects of the lettings process, property management coordination, landlord relations, tenant engagement, and commercial occupancy management.
Key ResponsibilitiesPortfolio Management
- Manage a mixed portfolio of 120 residential and commercial properties.
- Ensure properties are let efficiently, minimising void periods and maximising rental income.
- Conduct regular portfolio reviews and provide recommendations to landlords on rental values, property improvements, and market trends.
- Monitor tenancy and lease expiry dates.
- Line management of Lettings Administrator and co-ordination of the maintenance team.
Lettings & Tenant Management
- Oversee the marketing of vacant properties across relevant platforms.
- Manage applicant enquiries, viewings, tenant referencing, and right-to-rent checks.
- Negotiate tenancy agreements, lease terms, and rent reviews.
- Maintain positive relationships with tenants and act as the primary point of contact for tenancy-related matters.
- Resolve tenant disputes and complaints professionally and efficiently.
Landlord & Client Relations
- Build and maintain strong relationships with commercial property lease holders.
- Provide regular updates through weekly reports to line manager and directors. For example, team performance, occupancy levels, maintenance issues, and market conditions.
Property Maintenance & Compliance
- Ensure all residential and commercial properties comply with current legislation, including gas safety, electrical safety, EPC requirements, smoke and carbon monoxide regulations, and deposit protection.
- Monitor compliance requirements for residential and commercial properties, including health and safety obligations, fire safety regulations, and lease compliance.
Financial Management
- Responsible for rent collection and arrears management.
- Responsible for service charge and maintenance expenditure where applicable.
- Prepare rental income reports and occupancy statistics.
- Assist with budgeting and forecasting for managed properties.
- Authorise invoices and contractor payments within agreed limits.
Team Leadership
- Supervise and support the lettings administrator.
- Provide training and guidance to ensure consistent service standards.
- Developing processes to improve efficiency and customer satisfaction.
Compliance & Risk Management
- Maintain up-to-date knowledge of residential and commercial property legislation.
- Ensure company procedures comply with relevant property, landlord, tenant, and consumer regulations.
- Manage risk by maintaining accurate property records and documentation.
- Support audits and compliance inspections as required.
- Ensure personal data is handled in accordance with UK GDPR and Data Protection Act requirements.
Key Skills & ExperienceEssential
- Proven experience in managing a substantial portfolio of residential and commercial property lettings.
- Strong working knowledge of UK landlord and tenant legislation, Renters Rights Act and associated residential tenancy reforms.
- Excellent communication and negotiation skills.
- Strong organisational and time-management abilities.
- Ability to manage multiple priorities effectively while maintaining attention to detail and quality.
- Proficiency in property management software and Google.
- Full driving licence and ability to travel between managed properties.
Desirable
- ARLA Propertymark qualification or equivalent.
- Experience managing both residential tenancies and commercial leases.
- Knowledge of service charge administration and facilities management.
- Team leadership or supervisory experience.
Key Performance Indicators (KPIs)
Success in this role will be measured through:
- Occupancy levels and reduction of void periods across the managed portfolio.
- Rent collection performance and effective arrears management.
- Achievement of statutory and regulatory compliance requirements.
- Tenant and landlord satisfaction and retention.
- Timely response to tenant, landlord and maintenance enquiries.
- Portfolio profitability and retention of management instructions.
- Delivery of property inspections and management reporting within agreed timescales.
- Accuracy and completeness of property records and documentation.
- Successful management of commercial lease events, including rent reviews and lease renewals.
Pay: £34,500.00-£38,000.00 per year
