Veterinary Receptionist / Administrator
Nova Equine Vets is a progressive, independent, five-vet ambulatory equine practice based in Reigate, Surrey. We’re looking for a friendly, organised, and proactive Veterinary Receptionist / Administrator to join us. This is an important part of our practice — you’ll be one of the first voices our clients hear and a key support to our clinical team.
Key Responsibilities:
- Delivering warm and professional client care
- Taking ownership of client enquiries by phone, email, whatsapp, social media and in person
- Daily management of the practice diary to ensure all patients are booked in efficiently and any gaps can be proactively filled with same day visit requests
- Processing client requests such as orders, repeat prescriptions and insurance claims
- Dispensing medicines as prescribed by our vets either over the counter or by post
- Taking payments over the phone or in person
- Assisting in managing our social media
- Helping with general admin tasks to support our clients, vets and management team
- Playing a positive role in team wellbeing and maintaining a happy, healthy workplace
- Following practice processes in line with company and RCVS policies
- Assisting with account and debt management
- Attending team meetings when needed
- Taking pride in completing both individual and shared tasks to a high standard
The person we’re looking for:
- Has at least 2 years experience in a customer care or receptionist role. Experience within a veterinary business would be an advantage
- Ideally has knowledge of horses, ponies and their care, but at minimum a passion for animals and animal care.
- Is passionate about delivering the highest standards of client care
- Demonstrates high attention to detail
- Is proactive and a team player
- Can juggle tasks and stay calm in a busy environment
- Can communicate clearly, kindly, and with empathy
- Can grow and nurture positive, professional relationships with team members and clients
- Is emotionally resilient and comfortable supporting clients during difficult moments
- Has experience using Microsoft Office, especially word, excel and outlook
- Identifies and seeks opportunities for improvement and development
- Sees challenges as an opportunity for growth, not as problems
