1. JOB TITLE: Junior Analyst / Administration
2. MAIN FUNCTION OF JOB
The main focus is to help Admin/HR team with all general administrative tasks and ad-hoc duties in order to ensure the smooth day-to-day running of the office.
3. KEY TASKS
Main responsibilities: General administrative duties and Office Management (including but not limited to)
- Screening incoming calls
- Sorting and distributing incoming mail. Managing outgoing mail. Logging incoming posts
- Deliveries and liaising with off-site consolidation centre. Requesting courier services
- Visitors’ management incl. registering visitor log (QR codes) in the system, welcoming visitors
- Maintaining meeting room calendar and setting up meetings when required
- Registering, amending, and terminating access cards for staff
- Monitoring the stock levels and ordering stationery, office supplies and refreshment
- Preparing, Ordering, and distributing business cards
- Maintaining a well-presented canteen area
- Filing, photo-copying, scanning and typing documents
- Maintaining and updating office databases incl. update office plan, Back-up Plan, Org. chart, Cabinets review etc.
- Off-site storage arrangement incl. liaising with the off-site storage vendors for ordering, collection, keeping the record updated
- Events planning incl. Christmas party, Farewell arrangement, leaving cards etc.
- Assist with account payable / receivable when required
- Processing invoices internal system
- Collecting and recording monthly corporate cards expenditure
- Implementing new procedures and systems as and when required
- Supporting Managers, Senior Admin Officer or any other team member on matters that may arise.
- Providing cover to other team members during their absence
- Undertaking any Ad-hoc Admin/HR assignments requested by the General Manager or Administration managers.
4. REQUIRED SKILLS AND COMPETENCIES
- Fluent in English
- Strong communication and interpersonal skills
- Ability to collaborate with internal stakeholders across different cultural and professional backgrounds
- Proficient in MS Office applications
- Ability to prioritise multiple tasks.
- Excellent time management and organizational skills
- Strong attention to detail and accuracy
5. ESSENTIAL EXPERIENCE
- Experience in administrative support, office coordination (not required but preferred)
- Experience in MS Office
6. DESIRABLE QUALIFICATIONS AND KNOWLEDGE
- Proficient in MS Office applications
- Knowledge of advanced Excel
