Job Description
We are looking for a proactive and highly organised individual to work directly alongside our Managing Director and support the wider group. In this role, you will combine executive and personal assistance with people administration, recruitment, onboarding and office coordination. You will help keep priorities moving, ensure employees and candidates receive a professional experience, and provide dependable, discreet support across EES, ESEV and EMS.
Duties & Responsibilities
Provide day-to-day executive and administrative support to the Managing Director across the business group.
Manage diaries, appointments, meetings and competing priorities, ensuring important commitments and follow-up actions are never missed.
Prepare correspondence, documents, meeting notes, agendas and presentations to a professional standard.
Organise business travel, accommodation, events and other arrangements as required.
Maintain clear action lists and follow these through with colleagues until completion.
Handle confidential, commercially sensitive and personal information with complete discretion.
Manage the end-to-end onboarding journey for new employees, from offer acceptance through to their first weeks in the business.
Coordinate offer letters, employment contracts, references, right-to-work checks and other pre-employment documentation.
Arrange equipment, system access, inductions, training and early employee check-ins.
Maintain accurate, secure and confidential employee records and key people-process trackers.
Support probation and performance reviews, absence management, employee changes, training records and offboarding.
Act as an approachable first point of contact for routine employee and HR queries, liaising with external HR advisers on formal or complex matters.
Collate salary, commission, absence and employee changes for the payroll and finance process.
Work with the Managing Director and department heads to understand current and future recruitment requirements.
Create clear job descriptions and engaging job adverts that accurately represent the role and the group.
Source candidates through LinkedIn, job boards, recruitment agencies and personal networks, screen CVs and hold initial candidate conversations.
Coordinate interviews, candidate communication, feedback, offers and pre-employment checks.
Build and maintain a pipeline of potential candidates for future roles across EES, ESEV and EMS.
Support the smooth day-to-day running of the office, including supplies, equipment, facilities and general administration.
Prepare and coordinate clear internal communications, company meetings, leadership meetings and team events across the group.
Maintain shared documents, trackers and processes so information is accurate, accessible and up to date.
Represent the group warmly and professionally with employees, candidates, clients, suppliers and partners.
Requirements & Skills
Previous experience in an Executive Assistant, PA, HR, people operations, recruitment or business-support role.
Practical experience of employee onboarding, HR administration and maintaining confidential employee records.
Experience supporting recruitment, including candidate sourcing, CV screening and interview coordination.
Be able to demonstrate an excellent level of organisational skills and manage several priorities without constant direction.
Excellent communication skills - both written and verbal - with the ability to build trusted relationships at every level.
Sound judgement and discretion when handling sensitive business, employee and personal information.
Adaptable and flexible, comfortable in a growing business where priorities can change quickly.
Confident using Microsoft 365 and able to learn CRM, HR and other digital systems quickly.
Team Player - Someone who encourages team unity through sharing information and expertise.
Desirable
Experience within energy, consultancy, solar, metering or professional services.
Experience coordinating payroll information, employee benefits or internal company events.
A recognised HR, people-management or business-administration qualification.

Hours of Work: Approximately 20-25 hours per week (Mon-Fri), with the exact pattern agreed to suit both you and the business.

Pension: EES operate with standard government NEST pension scheme and offer 4% of matched employee 4% contributions each month.
