Role Title: App Project Coordinator

Role Overview
Coffee King Ltd is looking for a highly organised and proactive App Project Coordinator to support the delivery of our mobile applications, including our customer-facing app and internal Barista App.
This role is focused on coordination, control, and delivery support. You will help ensure that app-related delivery activity is well planned, clearly documented, visible to stakeholders, and governed effectively. Strategic decisions, product ownership, and commercial accountability sit with senior business and technology stakeholders — you will operate under their direction and escalate risks and issues as needed.
This role is ideal for someone who enjoys bringing structure, organisation, and momentum to complex delivery environments.
Key Responsibilities
Project Coordination & Delivery Support
· Maintain integrated delivery plans, milestones, dependencies, and action logs
· Coordinate app-related delivery activity, releases, and change initiatives
· Track progress across internal teams and external suppliers, highlighting impacts early
· Support change control by logging, tracking, and communicating approved changes
· Ensure agreed delivery processes, cadence, and ways of working are followed
Documentation & Governance
· Maintain accurate and up-to-date delivery documentation, including plans, RAID logs, trackers, and change logs
· Capture and document business requirements provided by stakeholders
· Prepare governance packs, status reports, and review documentation for forums and stakeholders
· Ensure documentation is auditable, consistent, and kept current
Vendor & Stakeholder Coordination
· Act as a central coordination point for third-party development partners and suppliers
· Track supplier deliverables, actions, and dependencies
· Support clear, timely communication between business teams, technology teams, and suppliers
· Escalate delivery concerns, risks, or delays where required
User Experience (UX) & Quality Assurance
· Coordinate UAT cycles, coordinating stakeholders, test execution, and defect resolution.
· Support user‑centred design principles by capturing feedback and escalating usability issues.
· Analyse customer feedback, store feedback, and analytics to drive continuous improvement.
· Ensure both applications consistently meet high standards of usability, stability, and performance.
· Ensure finance and transaction-related requirements are clearly documented, traceable through delivery, and validated through UAT prior to release.
Reporting & Administration
· Produce regular delivery status reports
· Maintain visibility of risks, issues, and dependencies
· Support user‑centred design principles by capturing feedback and escalating usability issues
Competitor & Market Intelligence
· Support competitor analysis
· Provide inputs and insights to inform roadmap discussions led by senior stakeholders
Cross-Functional Collaboration
· Work closely with Marketing on campaigns, push notifications, loyalty propositions, and brand alignment.
· Partner with Operations to support store workflows and Barista App enhancements.
· Engage Customer Service teams on issue trends and experience improvements.
· Support Finance and Commercial with forecasting and performance insights.
Location & Travel Requirements
This is a multi-site role supporting locations across the UK. Regular travel between Coffee King, Group, and partner sites will be required as part of the position.
Applicants must:
- Hold a full, valid UK driving licence.
- Have access to a vehicle and be willing to travel regularly between sites.
- Be comfortable attending meetings, workshops, testing activities, and project reviews at various business locations.
Skills & Experience
Essential
· Experience in a project coordination, delivery support, or PMO-style role
· Strong organisational skills with excellent attention to detail
· Experience maintaining delivery plans, trackers, RAID logs, and status reporting
· Confidence coordinating work across multiple teams and stakeholders
· Clear, professional written and verbal communication skills
· Ability to manage multiple priorities and deadlines effectively
· Comfortable working in agile or hybrid delivery environments
Desirable
· Experience supporting mobile app or digital product delivery
· Experience working with third-party development partners or suppliers
· Exposure to User Acceptance Testing (UAT) coordination
· Familiarity with delivery and collaboration tools such as Jira, Confluence, SharePoint, or Microsoft Teams

Pay: £32,000.00-£35,000.00 per year
