Full job description

This is an exciting opportunity to join the small Finance and Resources team at Open Awards as a Finance and Resources Assistant. We are looking for a self-motivated individual with previous Finance experience and excellent attention to detail. This is a varied role, responsible for managing the finance email inbox, processing all financial transactions, running reports and meeting monthly deadlines.

FUNCTIONS OF THE POST:

To run monthly invoicing reports from Quartz and Xams databases, resolving any queries, liaising with Customer Service Team and Finance and Resources Officer in relation to any identified errors.
To ensure customer fees from invoice reports are invoiced correctly, timely and reconciled to Sage Accounts.
To set up new customer accounts on Sage for new providers as required and maintain up to date contact details in the Customer Ledger.
To respond timely to tasks through Quartz workflows e.g., invoicing new providers, certificate re-issues and programme approvals.
To carry out processing of purchase invoices in Sage, ensuring correct authorisation, allocation to correct nominal codes and maintaining Supplier accounts details on the Purchase Ledger.
To process BACS payment runs via Internet banking.
To process staff expenses and contractors’ invoices.
To monitor the finance email inbox and deal with incoming mail in a timely manner, responding to queries and escalating to colleagues where necessary.
To deal with banking and allocation of income received via BACS, cheque or card, including issuing payment links to customers.
To follow monthly credit control/aged debtor procedures to ensure timely payment from customers and resolve any issues.
To liaise with suppliers and customers by email and telephone regarding queries or enquiries.
To deal with internal and external correspondence with respect to finance, in a confidential manner.
To ensure documentation relating to financial transactions is saved and filed appropriately.
To order goods or services as may be required on occasion, under the authorisation of the budgetholder.
To provide support in relation to Human Resource procedures as required, such as raising contracts for external contractors, via an electronic signing platform.

General Responsibilities:

Maintain up to date records in the Open Awards database and network drives in accordance with policies and procedures.
Carry out any other duties as specified, from time to time by the Management Team.
Follow Open Awards procedures accurately and reliably and engage in training as required.
Present a professional approach.
To travel to and work from any site that the duties of the job may require
