We are looking for 2 enthusiastic and motivated persons to join our friendly team. We deliver a high standard of care mainly to the student population of Swansea. The post will involve working in a busy Reception area and office environment . The role will involve dealing with patients, Doctors and Clinical Staff both internally and externally to the surgery. The role will involve telephone and face to face contact with patients along with being able to carry out IT and administrative duties to a high standard.
Experience of working in Primary care is a distinct advantage.
The post holder will ensure the smooth running of the reception area and office during the opening hours of the practice.
The post holder will be the first point of contact for the reception team and will offer general assistance to the practice team and will project a positive and friendly image.
The post holder will book in, amend and cancel patient appointments inline with practice appointments procedures ensuring optimum efficiency of the appointment system.
The post holder will receive and accurately record patient requests for appointments and respond to all patient/visitor requests accordingly.
Ensure computerised appointment system is up to date.
Answer incoming telephone calls, ensuring calls are documented and redirected accordingly.
Process new registrations and summarise medical records.
Ensure correspondence, reports, results etc are filed electronically in correct patient record.
Undertake administration tasks as allocated on rota organised by the Senior Administrator or the Practice Manager.
Undertake training as and when required.

The post holder will provide support to colleagues.
The post holder will provide good organisational skills, which includes ensuring accuracy, accessibility, and security of data. The post holder will need to be able to multitask and will require a certain amount of speed and accuracy.
Opening up/locking up of the premises and maintaining security in accordance with practice protocols is a must.
To be fully aware of confidentiality guidelines and exercise judgement and care when exchanging confidential patient information.
Making effective use of training to update knowledge and skills.
Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
Communicate effectively with other team members
There are 2 positions available.
The hours for position 1 are:
Monday 7.30 - 12pm
Tuesday 9.00 - 1pm
Wednesday 9.00 - 1pm
Thursday 9.00 - 1pm
Friday 10 - 1.30pm
The hours for position 2 are:
Monday 1.00 -5pm
Tuesday 2.00 - 6pm
Wednesday 1.00 - 5pm
Thursday 2.00 - 6pm
Friday 2.00 - 6pm
The opening hours of the surgery is between 7.30 and 6.30pm Monday to Friday.
The post holders may need to work additional hours to cover annual leave and sickness.
Pay: From £12.98 per hour
