Job Overview

We are seeking a dynamic and highly organized Personal Assistant - Admin to support our executive team and streamline daily operations. This role offers an exciting opportunity to contribute to a fast-paced environment by managing administrative tasks, coordinating schedules, and ensuring smooth communication across departments. The ideal candidate will be proactive, detail-oriented, and possess excellent organizational skills to help enhance overall efficiency and productivity.

Duties

Manage calendars, schedule appointments, and coordinate meetings to optimize time management for executives
Handle incoming calls with professionalism, demonstrating excellent phone etiquette and clear communication
Perform data entry tasks accurately using tools such as Microsoft Office, Google Workspace, and Xero for financial record keeping
Organize and maintain files, documents, and correspondence in both digital and physical formats
Assist with clerical duties including drafting emails, preparing reports, and managing office supplies inventory
Support bookkeeping activities by tracking expenses and processing invoices through Xero or similar accounting software
Facilitate smooth office operations by coordinating with vendors, service providers, and internal teams as needed

Qualifications

Proven administrative experience with a strong background in office management or support roles
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Experience with Xero or other accounting software is highly desirable
Excellent organizational skills with the ability to prioritize tasks effectively
Strong data entry skills with high accuracy and typing speed
Demonstrated clerical experience including filing, document preparation, and record keeping
Exceptional phone etiquette and professional communication skills
Familiarity with office equipment and general office experience necessary for daily operations
