Full job description

Role Overview

We are seeking a highly organised and proactive Property Assistant to support the day-to-day management of a residential property portfolio. The successful candidate will have strong administrative and PA skills, excellent attention to detail, and a good understanding of tenancy progression, property inspections, inventory reports, compliance and move-in/move-out procedures.

This role is ideal for someone with experience in residential lettings, property management, or estate agency administration who can confidently assist the team.

Key Responsibilities

Property Administration

Provide comprehensive administrative support to the Property Managers and Managers.
Maintain accurate property, tenancy, landlord, and tenant records.
Prepare tenancy documentation, agreements, notices, and related correspondence.
Manage diaries, appointments, meetings, and property inspection schedules.
Handle incoming calls, emails, and enquiries professionally and efficiently.
Ensure all property files and compliance documents are up to date.

Tenancy Progression

Support the tenancy progression process from offer acceptance through to move-in.
Coordinate referencing, Right to Rent checks, deposit registration, and tenancy agreements.
Liaise with tenants, landlords, and third-party providers to ensure a smooth onboarding process.
Track tenancy milestones and ensure all required documentation is completed within deadlines.

Inventory & Inspections

Review and manage inventory and schedule of condition reports.
Coordinate check-in and check-out appointments.
Assist with property inspections and ensure reports are completed accurately.
Monitor and follow up on issues identified during inspections.

Property Management Support

Ensure compliance certificates are current, including gas safety, electrical inspections, EPCs, and other statutory requirements.
Support landlords and tenants with routine property management enquiries.

Personal Assistant Duties

Manage calendars and appointments for senior management.
Arrange meetings, travel, and accommodation when required.
Prepare reports, presentations, and correspondence.
Assist with project coordination and general business administration.

Skills & Experience

Essential

Previous experience in residential lettings, property management, or estate agency administration.
Strong understanding of tenancy progression processes.
Experience reviewing or coordinating inventory and schedule of condition reports.
Excellent administrative and organisational skills.
Strong verbal and written communication skills.
Ability to prioritise workload and manage multiple tasks simultaneously.
Proficient in Microsoft Office (Word, Excel, Outlook).
High level of accuracy and attention to detail.

Desirable

Experience using property management software (Qube).
Knowledge of current residential lettings legislation and compliance requirements.
Experience supporting senior executives or directors in a PA capacity.

Pay: £30,000.00 per year
