Full job description

Overview

EcoGlow Group Ltd is seeking a detail-oriented and proactive Project Co-Ordinator to join our dynamic team. The successful candidate will play a crucial role in supporting daily operations and ensuring the smooth running of our business. This role requires excellent organisational skills, strong communication abilities, and proficiency across a variety of software applications.

You will be central to supporting our project managers, liaising with customers, managing our company fleet, and coordinating essential business functions — helping EcoGlow deliver renewable energy projects to the highest standards.

Key Duties & Responsibilities

Provide administrative support to ensure efficient operation of the office.
Manage phone calls, emails, and correspondence, demonstrating excellent professionalism.
Perform accurate data entry tasks and maintain digital and physical records.
Organise staff travel and accommodation (hotel bookings, transport arrangements).
Support fleet management, including scheduling maintenance , inspections, and compliance records.
Assist project managers with scheduling, documentation, and workflow tracking.
Prepare professional documents and reports using Microsoft Office and Google Workspace.
Support financial operations by using QuickBooks for basic accounting and invoicing tasks.
Manage office supplies and inventory to maintain smooth operations.
Assist in customer communication, handling queries and supporting excellent service delivery.
Contribute to EcoGlow’s social media presence with posts, updates, and basic content support.
Collaborate with team members across departments to facilitate effective communication and workflow.

Requirements

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Strong typing and data entry accuracy with attention to detail.
Excellent organisational and time management skills, with the ability to manage multiple priorities.
Clerical experience in a professional setting, with strong record-keeping skills.
Ability to communicate clearly and professionally, both verbally and in writing.
A proactive mindset with flexibility to adapt to the evolving needs of the business.
