General Description of the Role
The role provides operational and governance support to the AD CIS, ensuring continued compliance with MOD security requirements to maintain system accreditation. Responsible for coordinating, maintaining, and reviewing all relevant documentation associated with roles, projects, and systems to ensure CIS standards of compliance and governance are consistently met and suitable for business operations. The role also delivers second-line IT support to in-office staff, maintaining regional office network infrastructure, troubleshooting hardware and software issues, and ensuring local workplace technology operates reliably and securely.
Principal Areas of Accountability, Tasks and Duties
Working to support the AD CIS:
- Documentation Support: Assist in drafting, publishing and updating non-technical documentation, Security Operating Procedures and governance policies for Communication and Information Systems (CIS).
- Technical Support: Provide technical support for organisational management information system, Symphony.
- Procurement & Invoicing: Administer the end-to-end procurement process by accurately inputting purchase orders and tracking vendor invoices for CIS goods and services.
- Account Management: Oversee local and national supplier for core utilities, including telephony, mobile hardware procurement and related subscription services.
- Regional Systems Administration: Serve as the on-site Regional Systems Administrator (RSA) for the Council of RFCAs, maintaining physical security and access logs for the server room.
- First-Line Escalation & Budgeting: Act as the initial point of contact for Information Security Management (ISM) issues while supporting the Assistant Director (AD) CIS with budget coordination and expenditure ordering.
- Asset & User Administration: Maintain lifecycle records on the CRFCA Asset Database System and lead the user on-boarding process.
- Compliance & Compliance Projects: Support the CRFCA with IT training delivery, systems testing, platform upgrades and compliance tasks related to Data Protection, FOI requests and Privacy Impact Assessments.
- Board Secretariat: Fulfil the role of Secretary to the Management Information Systems Board (MISB) by organizing agendas, compiling report packs and documenting formal minutes and action items.
- Business Continuity: Provide proactive continuity cover for critical day-to-day IT infrastructure operations during the Line Manager's absence from the office.
- Supplier Collaboration: Work directly with the Managed Service Provider (MSP) to maintain, patch and optimize applications and server environments.
- Security Vetting: Successfully undergo and maintain Ministry of Defence (MOD) Security Check (SC) level clearance.
- Operational Flexibility: Undertake any other ad-hoc tasks or duties aligned with the broad scope of this position as reasonably directed.

Experience
Essential
- Proven experience providing high quality office administration support, including minute taking, meeting coordination, and professional documentation.
- Demonstrated experience managing structured workloads with excellent time management and organisational skills.
- Experience working under direct instruction while maintaining flexibility and adaptability to changing priorities.
- Strong verbal communication skills and the ability to build effective working relationships.
- Evidence of a self-motivated, collaborative, and team oriented approach, with strong attention to detail.
Desirable
- Experience working within an IT Service Desk or structured helpdesk environment.
- Practical experience applying IT service management principles and frameworks.
- Experience managing procurement activities, supplier liaison, and processing orders and invoices.
- Prior experience using MIS and/or CRM platforms.
- Experience managing vendor or supplier portals, including account management and order tracking.
Additional Requirements
- In addition to regular visits to sites within the RFCA area, this role may require occasional travel throughout the UK to other sites.
- The job holder will be required to be vetted to Security Check (SC) level.

Pay: £30,740.00 per year
