The Airport Operations Administrator provides essential administrative support to the Airport Operations team across LHR, LCY, and LGW, with a particular focus on airport ID and access administration, operational reporting, and scheduling support. This is a detail-critical role: much of the work directly enables airside access for staff and underpins compliance reporting to airport authorities, so accuracy and confidentiality are essential throughout.
Main Responsibilities:
1. Airport ID Referencing & Processing (LHR, LCY, LGW)
· Manage the end-to-end ID referencing and processing pathway for airside access across all three airports.
· Submit and track Criminal Record Check (CRC) applications as part of the ID vetting process.
· Arrange and monitor completion of GSAT (General Security Awareness Training) e-learning as a mandatory pre-requisite for ID issuance.
· Maintain accurate, audit-ready records of ID status, renewal dates, and vetting documentation for all staff requiring airside access.
2. Airport Gateway ID Administration
· Administer applications, renewals, and cancellations via the Airport Gateway ID system.
· Liaise with airport authorities (HAL and equivalent bodies at LCY/LGW) to resolve ID queries and processing delays.
· Ensure ID records remain compliant with airport security and data protection requirements.
3. Airport Operations Management — Administrative Support
· Prepare monthly MAAS (Multi-Airport/Airside Access Scheme, or company-specific naming — confirm) summary reports for management review.
· Provide invoice support administration, including checking and processing invoices relevant to Airport Operations.
4. Worked Hours Collation — Part-Time Pool (capacity-dependent)
· Subject to capacity, and in line with the HAL Commercial MAAS agreement's requirements for reporting of worked hours, support the collation of worked hours across the Part-Time staff pool.
· Ensure worked-hours data is accurate and submitted in a timely manner to support both HAL compliance reporting and internal payroll processes.
5. Scheduling Support — Pre-IT Solution Rollout (capacity-dependent)
· Subject to capacity, support the building of LHR daily schedules using Salesforce/Solar requests, ahead of the planned IT solution rollout.
· Flag scheduling conflicts or gaps in a timely manner.
· This responsibility is expected to reduce or be reassigned once the new IT scheduling solution is implemented.
Position Requirements:
Essential:
- Previous administrative experience, ideally within an airport, aviation, or other high-compliance operational environment.
- Strong attention to detail and comfort working with sensitive personal data (e.g., criminal record check information) in line with data protection requirements.
- Confident using standard office software (Excel, Outlook) and willingness to learn systems such as Salesforce/Solar and Airport Gateway ID platforms.
- Ability to manage multiple recurring deadlines (monthly reporting cycles) alongside ad hoc requests.
- Eligibility to pass a Criminal Record Check and obtain airside ID clearance at LHR, LCY, and LGW.
Desirable:
- Familiarity with HAL (Heathrow Airport Limited) processes, MAAS reporting, or GSAT e-learning requirements.
- Experience supporting payroll-adjacent processes (e.g., worked-hours collation).
- Experience with invoice processing or basic finance administration.
Working Conditions
- Role is based primarily at LHR, with occasional travel/support required for LCY and LGW.
- Requires successful completion of airside security vetting, including a Criminal Record Check and GSAT e-learning, prior to commencing certain duties.
Experience: A minimum of 2 years Airport Operations Administrator experience.
