About the Role
We are seeking a dependable and organised Admin Support / Operations Coordinator to support the smooth running of our pharmacy operations. This role is central to customer service, patient safety, and coordination between internal teams, clinics, and healthcare professionals. The successful candidate will play an important part in ensuring that processes are followed correctly and that patients receive a safe and reliable service.
Key Responsibilities
- Deliver high-quality customer service via phone and email, ensuring all enquiries are handled professionally, promptly, accurately, and with strong attention to detail.
- Communicate confidently in fluent English to support patients, clinics, and partners, including handling routine queries and providing clear information.
· Liaise with courier companies (e.g. DHL, DPD) to investigate and resolve issues relating to delayed or lost parcels.
· Support patient safety by adhering strictly to procedures and escalating concerns appropriately.
· Coordinate communication between clinics, prescribers, and internal teams to ensure efficient and timely workflows.
· Prepare, review, and issue monthly invoices to clinics, ensuring all information is correct and complete.
· Handle queries, troubleshoot issues, and contribute to day-to-day operational problem-solving.
· Always Follow Standard Operating Procedures (SOPS) to ensure consistency, compliance, and accuracy.
· Use Microsoft Excel and internal systems for data tracking, reporting, and administrative tasks with a high level of precision.
· Maintain strict compliance with data protection, confidentiality, and information governance requirements.
· Quickly learn and confidently navigate internal platforms and systems, demonstrating strong IT literacy and attention to detail.
What We’re Looking For
- Previous experience in pharmacy, healthcare, administration, and/or customer service.
- Strong communication and coordination skills.
- A calm, professional approach when dealing with patients, clinics, and doctors.
- Good working knowledge of Microsoft Excel and computer systems.
- Logical thinker with strong problem-solving ability.
- Strong attention to detail and commitment to accuracy.
- Working knowledge of data protection, information governance, and confidentiality.
Desirable Experience
- Experience in an online pharmacy environment.
- Familiarity with dispensing or pharmacy systems.
- Experience with clinic communication, invoicing, or healthcare coordination.
