Job Overview

We are seeking a friendly, dynamic and highly organized Estate Agent Administrator to join our award-winning and lively estate agency team. In this vital role, you will be the heart of our agency’s administrative operations, ensuring seamless communication, efficient management of property listings, and exceptional support for our sales team. Your proactive approach and attention to detail will help drive our success in connecting clients with their dream properties. Responsibilities

Manage and update property listings using Alto software, ensuring accuracy and completeness
Coordinate appointments, viewings, and sales negotiators diaries with excellent time management skills
Prepare and organize sales documentation, contracts, and correspondence using Microsoft Word and PowerPoint
Maintain clear communication with clients, vendors, and internal teams via Microsoft Outlook and other IT tools
Support sales administration tasks such as data entry in Alto software and tracking property transactions
Provide outstanding customer service by addressing inquiries promptly and professionally - via phone, email and in person
Organize files, manage schedules, and ensure all administrative processes run smoothly to support the sales team’s objectives

Requirements

Proven experience in administrative roles, preferably within real estate or sales environments
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Familiarity with Alto software system would be ideal - but not essential - for managing client relationships and property data
Excellent communication skills—both written and verbal—in English
Demonstrated organizational skills with the ability to prioritize tasks effectively
Ability to handle multiple responsibilities efficiently while maintaining attention to detail
Good IT skills including familiarity with general computer literacy tools and customer service platforms
