Job Title: Sports Centre & Community Manager
Location: Based at Bilton School, Lawford Lane, Bilton, Rugby, Warwickshire, CV22 7JT. The role will oversee bookings and community activity across five school sites in the Warwickshire area, with regular travel between sites as required.
Salary: £26,000.00 – £27,500.00 per annum
Hours: Full-time, 35 hours per week, usually worked across six days. The proposed working pattern is:
- Monday to Thursday: 10.30am – 6.00pm
- Friday: 12.00pm – 4.00pm
- Saturday: 9.00am – 12.00pm
Working hours may be flexible and may vary depending on business needs, including evenings, weekends and school holidays.

Overview
This is an exciting opportunity to join P&E Sports during a period of continued growth and development.
The Sports Centre & Community Manager will be based at Bilton School and play a key role in the successful day-to-day operation of the site, while overseeing bookings and supporting community activity across five school venues in the Warwickshire area.
This is a hands-on role combining operational management, customer service, staff leadership and direct programme delivery. The successful candidate will help ensure that facilities are welcoming, safe, well-presented and fully utilised throughout evenings, weekends and school holidays.
The role would suit someone with a passion for sport, youth engagement and community development, who is confident leading staff, building relationships and delivering high-quality activities.
What a Typical Week Could Look Like
Although no two weeks will be exactly the same, the role will include a mixture of site management, customer support, staffing, bookings administration and direct activity delivery.
Typical responsibilities across a week may include:
- Delivering an after-school club each weekday at a local primary school, totalling approximately five hours per week.
- Speaking with existing hirers and potential new customers to build relationships, resolve issues and identify opportunities.
- Supporting customers with bookings, online systems and general enquiries across all allocated sites.
- Monitoring bookings and ensuring customers have the correct access, information and support ahead of their sessions.
- Creating and managing staff rotas, arranging shift cover and approving hours where required.
- Inducting new staff during evenings and ensuring they understand site procedures, customer service expectations, safeguarding and health and safety requirements.
- Delivering a community programme during the evening and weekend, totalling approximately seven hours per week.
- Planning, coordinating and leading holiday camps during school holidays.
- Covering lettings staff as Duty Officer when required, including opening and closing facilities, supporting customers and responding to operational issues.
- Monitoring facility standards, cleaning requirements, maintenance issues and customer feedback.
- Visiting other Warwickshire sites regularly and where required to support staff, customers, bookings and operational standards.
- Developing new activities, clubs and partnerships to increase community use of the sites.

Purpose of the Role
The Sports Centre & Community Manager will be responsible for supporting the smooth operation of Bilton School Sports Centre, while overseeing bookings, staffing and community activity across five school sites in the Warwickshire area.
The postholder will manage staff, support customers and hirers, oversee facility standards, deliver activities directly and identify opportunities to increase participation, bookings, income and community engagement.
Key Responsibilities
Leadership and Staff Management
- Line manage Sports Centre Duty Officers, Coaches and sessional workers where required.
- Produce and manage staff rotas, ensuring appropriate staffing levels across all activities and lettings.
- Arrange shift cover and escalate staffing concerns where necessary.
- Induct, train and support staff to ensure they understand company procedures, safeguarding expectations and customer service standards.
- Hold regular team meetings and communicate company updates, standards and expectations.
- Provide regular feedback, support and development opportunities to staff.
- Ensure staff maintain high standards of professionalism, presentation and customer service.
- Manage workforce systems (including Connecteam), ensuring the timely completion of forms, task assignments, timesheets, probation and performance reviews, and the accurate maintenance of staff records.
- Support staff across all five Warwickshire sites and ensure consistent expectations are maintained.
Facility Operations and Standards
- Take responsibility for the daily cleanliness, safety and presentation of Bilton School Sports Centre.
- Support the monitoring of standards, safety and presentation across all allocated Warwickshire sites.
- Carry out regular facility, equipment and health and safety checks.
- Identify, report and follow up maintenance issues with the P&E Sports Leadership Team and relevant school contacts where authorised.
- Ensure sports halls, pitches, changing areas, gyms and communal areas are prepared and ready for use.
- Monitor the use and condition of outdoor pitches and sports facilities, reporting any issues promptly.
- Open and close facilities safely and securely where required.
- Ensure site procedures, cleaning schedules and operational standards are followed consistently.
Customer Service and Hirer Relationships
- Act as a key point of contact for hirers, customers, parents, coaches and community groups.
- Respond professionally and promptly to enquiries through email, telephone, in person and online booking systems.
- Support customers with registrations, bookings, payments, membership systems and general queries.
- Build positive relationships with existing hirers and identify opportunities to secure additional bookings.
- Speak with potential new hirers and provide information on available facilities, activities and booking processes.
- Handle customer feedback and minor complaints professionally, escalating significant matters where required.
- Ensure smooth handovers between bookings and sessions throughout the day and evening.
- Oversee bookings across five school sites and ensure customers receive a consistent, high-quality service.
Community Programme Delivery
- Deliver an after-school activity each weekday during term time.
- Deliver and support a range of evening and weekend activities, including sports sessions, youth activities, fitness classes, birthday parties or community programmes.
- Lead on the planning and delivery of holiday camps during school holidays.
- Develop new activities in response to local demand, including opportunities such as youth clubs, football, gymnastics, fitness classes, boxing, dance or multi-sports sessions.
- Recruit, coordinate and oversee external coaches, activity providers and sessional staff where required.
- Maintain accurate registers, attendance records and feedback information for all programmes.
- Ensure activities are inclusive, accessible and aligned with P&E Sports’ community objectives.
- Identify opportunities for programmes that can be delivered across more than one Warwickshire site.
Marketing and Communication
- Promote the facilities, sessions and programmes through social media, posters, noticeboards, school communications and community engagement.
- Create simple promotional content using tools such as Canva.
- Keep venue marketing materials, noticeboards and displays up to date.
- Work with the P&E Sports Marketing and Leadership Teams on wider campaigns.
- Support school engagement through assemblies, class visits, parent communications and school events where appropriate.
- Represent P&E Sports at community events and local partnership meetings where required.
- Ensure activities and available facilities are effectively promoted across all allocated sites.
Finance and Administration
- Monitor bookings, participation figures, facility usage and membership trends.
- Produce regular reports on activity delivery, income, usage, staffing and community engagement.
- Support the Leadership Team with forecasting, budgeting and identifying growth opportunities.
- Oversee cash handling procedures, including weekly cash tin checks and accurate recording.
- Purchase approved stock and equipment in line with company processes.
- Ensure staff hours and timesheets are submitted accurately and on time.
- Monitor booking performance across all five sites and identify opportunities to increase facility use.
Compliance and Safeguarding
- Ensure all activities are delivered in line with P&E Sports policies, safeguarding procedures and health and safety requirements.
- Ensure staff understand and follow safeguarding, GDPR, equality and behaviour expectations.
- Report safeguarding concerns, serious incidents or major operational issues immediately to the Designated Safeguarding Lead and P&E Sports Leadership Team.
- Ensure appropriate risk assessments, registers, accident reporting and emergency procedures are in place.
- Maintain confidentiality and professional boundaries at all times.
- Support consistent safeguarding and health and safety standards across all allocated sites.
Duty Officer Responsibilities
- Cover lettings staff as Duty Officer when required.
- Open and close facilities safely and securely.
- Supervise public access and ensure customers use facilities appropriately.
- Respond to incidents, emergencies and customer concerns.
- Carry out basic site checks and report issues promptly.
- Support smooth transitions between bookings and activities.
- Provide operational cover at Bilton School and other allocated sites where required.
Person Specification
Essential
- Experience supervising or managing within a sports, leisure, community, education or customer-service environment.
- Experience delivering sports, youth work or community activity programmes.
- Strong organisational skills and the ability to manage a busy and varied workload.
- Excellent communication and customer-service skills.
- Experience delivering holiday camps, youth clubs or school-based activities.
- Experience working with children and young people aged 5–16.
- Confidence delivering sports or activity sessions.
- Ability to lead, motivate and support staff.
- Ability to build positive relationships with schools, parents, hirers, coaches and external partners.
- Strong IT skills, including email, Word, Canva and online booking or membership systems.
- Flexible approach to working evenings, weekends and school holidays.
- Coaching, sports leadership or youth-work qualification.
- Full UK driving licence and access to a vehicle.

- First Aid and Safeguarding qualifications.

Additional Information
This is a full-time, permanent role. Responsibilities are not exhaustive and may change to meet the needs of P&E Sports, the school sites and the local community.
The role requires regular travel between Bilton School and other allocated Warwickshire sites. This travel forms part of the normal duties of the post.
