We are looking for an exceptional, highly organised and proactive Office Administrator to become a key part of our operation.
This is not simply a data-entry or telephone-answering position. We need someone who takes genuine ownership of their work, thrives in a busy environment, spots problems before they become problems, and takes pride in creating an office that is organised, accurate and efficient.
You will sit at the heart of the business, supporting colleagues across multiple departments and helping ensure that information, systems, documentation and communication are managed accurately and professionally.
The right person will be confident, switched-on, exceptionally organised and comfortable working independently. You will identify priorities, follow tasks through to completion and maintain high standards even when the business is busy.

Key Responsibilities Office Administration & Organisation
· Maintain an exceptionally organised, professional and efficient office environment, ensuring administrative tasks are completed accurately and on time.
· Take ownership of day-to-day office administration, proactively identifying outstanding actions and ensuring they are followed through to completion.
· Maintain accurate electronic and physical records in accordance with company procedures.
· Support the development and continuous improvement of administrative processes and systems.
EPOS, Data & Inventory Administration
· Become a highly competent user of the company's EPOS system and use it extensively throughout the working day.
· Maintain accurate inventory, customer and supplier information.
· Process and match invoices accurately, investigating discrepancies and escalating issues where appropriate.
· Ensure data entered into company systems is complete, accurate and maintained to a consistently high standard.
· Work with other departments to resolve discrepancies and ensure information flows effectively throughout the business.
Communication & Customer Service
· Act as a professional point of contact for customers, suppliers and colleagues.
· Manage incoming telephone calls and emails confidently and professionally.
· Accurately record enquiries, resolve straightforward issues and ensure more complex matters are escalated promptly to the appropriate person.
· Produce clear and professional internal notices, correspondence and communications when required.
· Communicate confidently with colleagues at all levels of the business.
Systems & Employee Administration
· Administer designated areas of the company app and internal systems.
· Maintain accurate employee and associated records, ensuring information remains current and complete.
· Identify missing or inaccurate information and proactively ensure records are corrected.
· Handle company and employee information professionally and confidentially.
Projects, Compliance & Continuous Improvement
· Support business projects involving data entry, data cleansing, record reviews and administrative improvements.
· Assist with the creation, documentation and maintenance of Standard Operating Procedures (SOPs).
· Support management with administrative elements of compliance and operational projects.
· Identify opportunities to improve administrative processes rather than simply accepting inefficient ways of working.
· Provide reliable administrative support to management and other departments as business priorities change.
What We Are Looking For
We are looking for more than basic administration experience. The successful candidate will demonstrate:
· Strong previous experience in an office administration, coordination or similar role.
· Exceptional organisation and attention to detail.
· The ability to manage multiple priorities without losing accuracy or follow-through.
· A proactive mindset - someone who sees what needs doing and takes action.
· Confidence working independently and taking ownership of responsibilities.
· Strong IT skills and confidence learning new systems quickly.
· Good working knowledge of Microsoft 365, particularly Outlook, Word and Excel.
· Excellent written and verbal communication skills.
· A professional, confident and friendly telephone manner.
· Strong numerical accuracy and confidence working with invoices, records and data.
· The ability to communicate effectively with customers, suppliers, colleagues and management.
· Discretion when handling confidential or commercially sensitive information.
· A genuine commitment to maintaining high standards.
· The ability to remain calm, organised and productive in a busy environment.
Experience using EPOS, stock-management, ERP or similar business systems would be advantageous, although full training on our systems will be provided.

What We Offer
Hours: Monday–Thursday: 12:00pm–8:00pm; Friday: 9:00am–4:00pm.
Contract: Permanent, subject to successful completion of probation.
Start date: Immediate.
Full training will be provided on company-specific systems, procedures and processes.
