Overview

We are seeking a hard working detail-oriented Legal Secretary/Receptionist to join our professional team. This vital role combines administrative excellence with front-desk responsibilities, ensuring the smooth operation of our legal practice. As the first point of contact for clients and visitors, you will play a key role in creating a welcoming environment while supporting legal staff with essential administrative tasks. Your energetic approach and organisational skills will drive efficiency and uphold our commitment to exceptional service.

Key Responsibilities

Greet clients, visitors, and callers with professionalism and enthusiasm, providing excellent customer service at all times
Manage incoming calls, direct inquiries appropriately, and handle messages efficiently using Microsoft Outlook and other communication tools
Perform typing of legal documents, correspondence, and reports with accuracy and speed
Undertake verification checks of ID documents
Maintain and organise legal files, documents, and records in accordance with firm procedures
Schedule appointments, court dates, meetings, and manage calendars using Microsoft Office applications such as Microsoft Word, Excel, PowerPoint, and Outlook
Assist with administrative duties including data entry, filing, photocopying, scanning, and post distribution
Support legal staff by preparing documents, presentations, and reports as needed using Microsoft PowerPoint and Word

Experience

Proven administrative experience in a professional or legal environment is highly preferred
Strong typing skills with high accuracy and speed
Excellent communication skills—both verbal and written—to interact effectively with clients and team members
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential
Demonstrated organisational skills with the ability to prioritise tasks efficiently
Good IT knowledge to navigate various software systems confidently
Effective time management skills to handle multiple responsibilities simultaneously
