Job Overview

Location: Marlow (Hybrid)

Department: Executive

Reports To: CEO

Hours: 12-16 per week, over 4 days per week

Salary: £9,000-£14,000 pro-rata (£30,000-£35,000 FTE)

Contract: 12 month fixed term contract (maternity cover), starting asap

The rapid delivery app for tradespeople (think Deliveroo for construction), we make it easier for plumbers, decorators, builders & electricians to purchase products from the brands and merchants they know and trust.

The Purpose of this role

The purpose of this role is to provide high-quality, proactive support that ensures the smooth running of TradeKart’s day-to-day operations while enhancing the overall team experience.

Acting as a central point of coordination, the Executive Assistant will support key business activities, manage logistics, and help create a well-organised, engaging and efficient working environment. This includes enabling the team to operate effectively through strong administrative support, thoughtful coordination of events and onboarding, and ensuring that both operational processes and team initiatives are delivered seamlessly.

This role is integral in maintaining the rhythm of the business — balancing practical operational support with a focus on team connection, organisation and culture.

Responsibilities

You will play a central role in supporting the business across administrative, operational, and team engagement activities, including:

Office & Operations Support

Managing office supplies, equipment and general administration
Maintaining office and meeting room calendars
Supporting asset tracking and equipment management
Overseeing post, deliveries and supplier coordination
Co-ordinate key monthly meetings

Team & People Support

Coordinating onboarding for new starters (equipment, access, welcome arrangements)
Organising team events, socials and key company gatherings
Managing work anniversary recognition and team engagement activities

Events & Logistics

Supporting internal and external event planning (e.g. team events, industry shows)
Booking travel and accommodation for the team
Coordinating meeting room bookings, catering and logistics for senior meetings

Financial & Administrative Tasks

Processing and collating receipts and expense documentation
Supporting monthly account administration (e.g. statements for finance)
Managing ordering processes (e.g. merchandise, business materials, POS)

General Business Support

Monitoring shared inboxes and responding or delegating where appropriate
Maintaining supplier relationships and coordinating orders
Supporting ad hoc administrative projects as required
Support producing decks and presentations as required

What we’re looking for

We’re looking for someone who is:

Highly organised with excellent attention to detail
Proactive and able to manage multiple priorities effectively
Approachable, flexible and team-focused
Confident communicating across all levels of the business
Comfortable working independently and taking ownership
Strong Microsoft and Google skills
Experienced in an administrative, EA or operations support role (desirable)
