We are a growing organization dedicated to supporting young people aged 16–25 through transformative training, employability, and life skills programs. To support our mission, we are looking for a highly organized individual to act as the "engine" of our daily operations.
The Role
As our Education Operations Coordinator, you will be the central point of contact for our staff, learners, and partners. This is not just a "basic admin" role; you will have ownership over our administrative systems, ensuring that our education programs are compliant, structured, and delivered to the highest standard.
Key Responsibilities
1. Daily Operations & Systems Management
- Oversee and streamline day-to-day administration across the organization.
- Maintain rigorous digital and physical filing systems.
- Monitor staff submissions, including registers, progress reports, and invoices, to ensure nothing is missed.
- Track organizational tasks and proactively follow up with team members to ensure deadlines are met.
2. Training & Education Coordination
- Manage the full learner journey: from initial enrollment and attendance tracking to final records.
- Coordinate complex timetables, classroom sessions, and tutor schedules.
- Support assessment tracking to ensure learner progress is recorded accurately for qualification purposes.
3. Compliance, Safeguarding & Reporting
- Maintain all documentation required for audits, NCFE/JCQ inspections, and funding requirements.
- Support the maintenance of safeguarding records and reporting processes.
- Prepare weekly and monthly operational reports for the Senior Management Team.
4. Communication
- Act as the primary point of contact for learners, parents, and external stakeholders.
- Ensure clear and consistent communication across different teams within the charity.
What We Are Looking For
- Proven Experience: Significant experience in administration, ideally within education, training, or a highly regulated environment.
- Independence: The ability to prioritize your own workload and manage daily operations without constant supervision.
- Attention to Detail: A "perfectionist" approach to data management and record-keeping.
- Communication Skills: Confidence in following up with staff and holding systems together under pressure.
- Tech Savvy: Strong proficiency in Microsoft Office 365 and data management systems.
Desirable
- Experience working within Ofsted regulated environments.
- A background in Alternative Provision, SEN, or youth-focused programs.
