About the Role
The Barrington Law Partnership is seeking a motivated, organised and experienced Conveyancing Assistant to support our busy Conveyancing team.
This is an excellent opportunity for someone with previous conveyancing experience who is looking to further develop their skills within a residential and commercial property department.
The successful candidate will support Fee Earners in progressing conveyancing transactions from instruction through to completion and post-completion, helping to ensure matters are dealt with efficiently and clients receive a high standard of service throughout the process.
Key Responsibilities
The Conveyancing Assistant will provide administrative and practical support to the Conveyancing team, including:
- Supporting Fee Earners and Paralegals with the progression of residential and commercial conveyancing files from instruction through to completion and post-completion
- Opening new files and carrying out initial administrative and compliance procedures
- Preparing and sending client care documentation
- Requesting and reviewing identity documents and carrying out compliance checks
- Preparing draft contract packs and assisting with legal documentation
- Ordering searches, obtaining title documents and identifying routine issues for escalation where appropriate
- Liaising directly with clients, estate agents, mortgage lenders, solicitors and other third parties in a professional manner
- Handling telephone calls, emails and general correspondence
- Providing clients and third parties with routine updates on transaction progress
- Keeping case management systems updated with accurate file notes, task lists and progress updates
- Supporting the team with exchange, completion and post-completion administration
- Preparing and submitting Land Registry applications and SDLT returns under supervision where appropriate
- Supporting effective file management, including document management, scanning, filing and other administrative tasks as required
Person SpecificationEssential Skills and Experience
- Minimum 12 months’ experience working in a conveyancing department
- Good understanding of the key stages of residential conveyancing transactions
- Experience assisting with sale, purchase, remortgage and/or transfer of equity files
- Familiarity with contract packs, searches, title documents, mortgage offers, Land Registry applications and SDLT submissions
- Strong administrative and organisational skills
- Excellent attention to detail
- Good written and verbal communication skills
- Confident and professional manner when dealing with clients and third parties
- Ability to manage competing tasks and meet deadlines in a busy working environment
- Able to work as part of a team while taking ownership of delegated tasks
- Competent IT skills, including Microsoft Office and case management systems
Desirable
- Experience using the LEAP case management system
- Experience assisting with commercial property transactions
- Previous experience working in a law firm or professional services environment
- Knowledge of compliance, AML and client due diligence procedures
