The Role
We are looking for a highly motivated, hard-working, and meticulous Bookkeeper & Administrator to take ownership of our day-to-day accounts and office administration. This is a vital, high-detail role that supports our retail operations and ensures smooth daily business functions. The successful candidate must be as comfortable with Xero and spreadsheets as they are being polite and helpful to our retail customers.
Key Responsibilities
Accounts & Financials:
- Daily takings reconciliation, till float management, and daily banking.
- Managing payment links and online terminals.
- Full Xero usage: Bank reconciliation, credit card reconciliation, manual entries, and journal entries.
- Sales/purchase invoice import from our Sales system to Xero.
- Processing supplier payments and managing regular monthly payments.
- VAT returns, P&L reporting, and budget/forecast monitoring.
- Credit control: Performing credit checks on customers, raising credits & refunds.
- Preparation of annual accounts for Year-End (Y/E).
Administration & Operations:
- Managing clearance stock commission, fuel cards, and office overhead contracts.
- Filing, archiving, and maintaining accurate digital/physical records.
- Stock records: Annual stock-take, weekly stock checks, and daily movement sheets.
- Front-of-house: Answering phones, dealing with incoming emails, and greeting customers professionally.
- Assisting with related company tasks
Compliance & Health & Safety:
- Organizing Croner/Fire inspections and maintaining H&S compliance.
- Conducting weekly fire drills, weekly tests, and monthly compliance checks.
- Managing staff training, DSE assessments, and driving license checks.
- First aid kit checks and restocking supplies.
Requirements & Attributes
- Detail-Oriented: Absolute precision is paramount.
- Experience: Proven experience in a similar Bookkeeper/ Accounts/ Administration role.
- Software Proficiency: Expert knowledge of Xero and MS Office (Excel/Word).
- Interpersonal Skills: Friendly and professional demeanor, comfortable communicating with customers and staff.
- Motivation: A proactive "can-do" attitude, taking pride in delivering accurate work.
- Ability to handle pressure: Able to manage multiple tasks, from invoicing to taking customer calls, with high accuracy.
