Overview
As part of our expanding Facilities Services, we are seeking an experienced and proactive Building Manager to oversee the daily operations and maintenance of our clients premises. The ideal candidate will possess strong people communication skills and technical knowledge to ensure the building's safety, functionality, and overall operational efficiency are delivered to the highest of standards.
This role combines front desk services with professional administrative and facilities support to ensure the smooth overall operations of the building. The building manager is the main point of contact for all building operations.
This role has the responsibility of upholding the highest of standards of presentation, security and compliance for all building tenants and clients.
Duties
- To serve as the buildings ambassador by creating a welcoming and professional first impression for all tenants, clients, guests and contractors.
- To always deliver a high-quality service ensuring all queries and concerns are resolved efficiently and discreetly.
- To maintain the appearance and atmosphere of the reception area to premium standards.
- Professionally manage all incoming communication via email, phone and in person.
- To serve as the buildings main point of contact and ensure a professional image is always maintained.
- To conduct regular and detailed site and property inspections to ensure cleanliness, safety and presentation are always maintained
- Document and report any maintenance or service concerns to client facilities manager.
- Monitor compliance with health, safety and environmental standards in line with Next Level Security Facilities policies and statutory obligations.
- Support the client facilities manager in delivering operational excellence and ensuring the buildings smooth day-to-day running.
- Foster strong working relationships with tenants. Understanding their needs and responding to service requests promptly and professionally.
- Co-ordinate with contractors and service providers to ensure quality, compliance and to ensure there is minimal disruption to tenants.
- Manage and monitor contractor activity whilst on site ensuring appropriate access around the building including distribution of keys when necessary.
- Support delivery of building for all Hard and Soft FM Services (Cleaning/Security/Electrical/HVAC/Plumbing/Mechanical)
- Administer and control the buildings keys and access systems, including fob issuance and logging.
- Responsible for all building keys and to ensure key handling is conducted as per NLSG key holding policies.
- Manage CCTV and access control in line with NLSG Security site procedures and assignment instructions.
- Oversee all areas of the building including communal areas and conduct regular checks internally and externally. Report any security concerns directly to NLSG Head office.
- Ensure the overall cleanliness of the building and report any concerns to NLSG who will liaise with the client facilities manager.
- Responsible for scheduling building repairs and reporting any faults regarding the buildings HVAC, electrical and plumbing systems.
- Ensure fire systems are tested including alarms, emergency lighting and sprinkler systems.
- To liaise with fire engineering contractors to ensure the smooth delivery of planned and reactive fire maintenance.
- Ensure that all tenants, visitors and contractors adhere to the buildings fire risk assessment in compliance with the building safety act.
- Maintain accurate site documentation, compliance records, incident reports and asset documentation.
- Assist with statutory and compliance processes including fire systems, first aid and accident reporting.
