About the Role
The successful candidate will work closely with finance, procurement, production, warehouse and management teams to process financial information accurately, maintain reliable records, support supplier and customer account activity and assist with routine reporting and reconciliation tasks.
This role is suitable for someone with experience in finance administration, accounts payable, accounts receivable, bookkeeping or general accounting support who is comfortable working with financial systems, spreadsheets and operational data.
Key Responsibilities
Financial Administration: Support the day-to-day processing and maintenance of financial records.
Invoice Processing: Review and process supplier invoices accurately and within agreed timeframes.
Purchase Ledger: Maintain accurate purchase-ledger records and supporting documentation.
Sales Ledger: Support customer-account administration and sales-ledger activity.
Accounts Payable: Assist with preparing supplier invoices for payment.
Accounts Receivable: Support monitoring of customer balances and outstanding payments.
Invoice Matching: Match supplier invoices against purchase orders and delivery documentation.
Purchase Order Checks: Review purchase-order information before invoices are processed.
Supplier Statements: Reconcile supplier statements and investigate discrepancies.
Customer Accounts: Maintain accurate records of customer invoices and payments.
Payment Allocation: Allocate incoming payments to the correct customer accounts.
Credit Control Support: Assist with routine follow-up of outstanding balances.
Payment Queries: Respond to routine supplier and internal payment enquiries.
Invoice Queries: Investigate differences between invoices, purchase orders and delivery records.
Bank Reconciliation: Assist with reconciling bank transactions against accounting records.
Cash Records: Maintain accurate records of receipts and payments.
Expense Processing: Review and process employee expense claims.
Expense Documentation: Ensure supporting receipts and approvals are complete.
Supplier Setup: Support creation and maintenance of supplier records.
Customer Setup: Assist with maintaining accurate customer-account information.
Data Entry: Enter financial transactions accurately into accounting systems.
Accounting Systems: Maintain reliable financial information within relevant software.
General Ledger Support: Assist with posting and reviewing routine ledger transactions.
Journal Support: Prepare basic journal information where required.
Month-End Support: Assist finance colleagues with month-end closing activities.
Accrual Support: Help compile information required for routine accruals and prepayments.
Financial Reconciliations: Support reconciliation of balance-sheet and operational accounts.
Manufacturing Costs: Assist with recording and reviewing production-related costs.
Material Costs: Support tracking of raw-material and supply expenditure.
Freight Costs: Maintain records relating to transport and logistics charges.
Inventory Records: Work with warehouse teams to ensure financial stock records remain accurate.
Stock Reconciliation: Support reconciliation of inventory information with financial records.
Cost Variances: Assist with identifying differences between expected and actual costs.
Supplier Coordination: Communicate with suppliers regarding invoices, statements and payment information.
Procurement Coordination: Work with purchasing teams to resolve financial-documentation issues.
Production Coordination: Provide finance information relating to manufacturing expenditure where required.
Budget Support: Assist with maintaining departmental budget information.
Cost Tracking: Monitor routine operational spending against approved budgets.
Financial Reporting: Prepare basic finance reports and supporting schedules.
Spreadsheet Reporting: Maintain Excel trackers for payments, invoices and account activity.
Data Validation: Review financial information for missing or inconsistent entries.
Document Control: Maintain organised electronic and paper financial records.
Record Retention: File financial documentation according to internal procedures.
Audit Support: Compile documents and records requested during financial reviews or audits.
Compliance Support: Follow established financial-control and approval procedures.
VAT Administration: Assist with maintaining information required for VAT reporting where applicable.
Payroll Support: Provide routine financial information to payroll teams when required.
Finance Inbox: Monitor and respond to routine finance-related emails.
Administrative Support: Provide general assistance to the wider finance team.
Continuous Improvement: Contribute to improving financial accuracy, organisation and processing efficiency.
What We Are Looking For
Experience: Previous experience in finance administration, accounts payable, accounts receivable, bookkeeping or a similar finance-support role.
Finance Knowledge: Good understanding of basic accounting and financial-administration principles.
Invoice Processing: Familiarity with supplier and customer invoice processes.
Reconciliation Skills: Ability to compare financial records and identify discrepancies.
Numerical Skills: Strong confidence working with figures and financial information.
Attention to Detail: High level of accuracy when entering and reviewing financial data.
Microsoft Excel: Good spreadsheet skills for tracking, reconciliation and reporting.
Accounting Software: Experience with accounting, ERP or finance systems would be advantageous.
Organisation: Strong planning and file-management skills.
