FREELANCE PROJECT, PRODUCTION & LOGISTICS COORDINATOR

ABOUT US
We are a busy exhibition stand building and joinery company based in Milton Keynes, delivering projects throughout the UK and Europe.
We are looking for a reliable, organised and proactive Freelance Project, Production & Logistics Coordinator to become a key part of our team on an ongoing basis.
This role combines project coordination, production scheduling, purchasing, logistics and workshop coordination. You will work directly with the Director, workshop team, suppliers and clients to ensure projects move smoothly from handover through production and delivery.
This is not simply an administrative role. We are looking for somebody who takes ownership, follows tasks through to completion and actively helps keep projects moving forward.
The position is offered on a self-employed freelance basis. The successful candidate will invoice for their time and will be responsible for their own tax, National Insurance and pension arrangements.
As this is a freelance position operating within a seasonal industry, no minimum number of hours can be guaranteed.
Training will be provided on our systems and processes; however, applicants must already have previous coordination experience and be comfortable managing multiple moving parts, deadlines, suppliers and subcontractors.
KEY RESPONSIBILITIES
- Coordinate projects from handover through to completion
- Create, maintain and update production schedules
- Coordinate workshop workflow and labour requirements
- Liaise with clients, suppliers, subcontractors and workshop staff
- Order materials, equipment and long-lead items
- Raise and track purchase orders
- Arrange logistics, transport, venue access and contractor passes
- Track project deadlines, budgets and progress
- Record client changes and project variations
- Maintain accurate project records and documentation
- Carry out regular progress reviews with workshop staff
- Assist with quality control, snagging and project close-out
- Support site operations during busy exhibition periods
ESSENTIAL REQUIREMENTS
- Previous project coordination, production coordination, operations coordination, construction administration or similar experience is essential
- Strong Microsoft Excel skills
- Full UK driving licence
- Excellent organisational and communication skills
- Strong attention to detail
- Ability to manage multiple projects simultaneously
- Ability to work independently and take ownership of tasks
- Reliable, proactive and comfortable working in a fast-paced environment
- Must be able to attend our Milton Keynes workshop regularly
- Must be able to work Fridays
WORKING ENVIRONMENT
This role involves regular interaction with workshop staff, tradespeople, subcontractors, drivers and site crews.
The successful candidate must be confident communicating with a wide range of personalities and be comfortable working in a practical manufacturing and construction environment.
You should be able to communicate clearly, remain calm under pressure and not be intimidated by direct communication styles when coordinating work and resolving issues.
A sense of humour, resilience and the ability to build positive working relationships with practical, hands-on people will be valuable in this role.
HOURS & AVAILABILITY
This is a freelance role within a seasonal industry and hours are not guaranteed.
During active periods, typical hours are between 24 and 32 hours per week, with additional hours often available during busy exhibition periods.
At peak times, the role may require five-day weeks, longer working days and occasional out-of-hours calls.
Conversely, during quieter periods there may be significantly reduced hours or occasional periods where little or no work is available.
Typical working hours when work is available are 8:30am to 4:30pm.
We can offer a degree of flexibility around school drop-offs and pick-ups for the right candidate; however, the successful applicant must be available during core business hours and able to attend our Milton Keynes workshop regularly.
Fridays are essential.
This role is best suited to somebody who values flexibility and whose personal circumstances allow them to increase their availability during busy periods.

- Keeping production moving without needing constant direction
This role is not suitable for someone who requires constant supervision or direction.
