Office Coordinator & Administrative Assistant
The Chocolatier Ltd, Hitchin
The Chocolatier is a growing premium chocolate business supplying luxury retail and corporate clients across the UK. As the business continues to grow, we are looking for a highly organised, proactive and detail-focused person to support the smooth running of our day-to-day workflow and office coordination.
This role is central to keeping customer orders, scheduling, communication, administration and internal systems running smoothly across the business, helping free up leadership and production time to focus on growth, creativity and customer experience.
Key ResponsibilitiesOrder & Workflow Coordination
- Handling customer orders once confirmed
- Logging confirmed orders onto the production calendar and ERP system
- Coordinating customer communication throughout the order journey
- Supporting smooth communication between production, packing and office teams
- Supporting courier coordination and delivery updates where required
- Helping maintain organised workflow across departments
Administration & Office Support
- Supporting office organisation and day-to-day administration
- Handling incoming enquiries and general office coordination
- Supporting the Managing Director with administrative coordination, meeting notes and follow-up actions
- Support MD with professional diary in conjunction with personal diary.
- Supporting HR administration including holidays, sickness and staff records
Systems & Finance Support
- Maintaining ERP accuracy, organisation and data integrity
- Uploading purchase orders, invoices and internal records into company systems
- Coordinating supplier orders and maintaining purchasing records
- Supporting Xero bookkeeping administration
- Supporting payroll administration
Marketing & Business Support
- Supporting marketing coordination and blog content
- Supporting social media scheduling
- Supporting sales prospecting via email, including 3rd party sales platforms
- Assisting with process improvements and internal systems development
And as per business' needs.
About You

This role would suit someone who enjoys coordination, planning and keeping things running smoothly behind the scenes within a growing business.
Experience with Xero, ERP systems or administration within a manufacturing or food environment is helpful, but not essential.
Role Details
- Full-time, 40 hours per week
- Monday to Friday
- Typical hours 8:30am–4:30pm
- Office-based in Hitchin
- Salary: £28,000-30,000 per annum
- Probationary period applies
