We are looking for a new colleague to join our Projects Team, to help us maintain the high standards that we have set and to continue to grow our business. We understand that people are the engine behind Providence, and we draw on our technical, operational, and customer support experience to provide the know-how and means to solve some of our clients’ most challenging operational problems.
The Role:
The Projects Support Officer provides structured coordination, administration, and delivery support across multiple defence, government, and law-enforcement projects. The role supports Project Managers and the wider Projects Team by maintaining project information, coordinating activities, supporting governance and reporting processes, and helping to ensure projects are delivered in a controlled, compliant, and well documented manner.
The post holder will work across project delivery, quality, compliance, and bid support activities, including document control, tracker maintenance, tender and portal monitoring, and coordination of inputs for project and bid-related outputs. Where appropriate, the Projects Support Officer may also support the delivery of small, low-risk project activities or internal tasks under the supervision of a Project Manager.
This role requires a highly organised and proactive individual who is comfortable working in a structured environment, handling controlled documentation, and supporting multiple priorities at once. The Projects Support Officer will work closely with Project Managers, internal teams, and external stakeholders to support effective delivery, maintain quality standards, and contribute to continuous improvement across the Projects function.
Key Responsibilities
Project Support & Coordination
- Provide day-to-day project support across multiple defence, government, and law-enforcement projects.
- Support Project Managers with the coordination of project activities, including meetings, actions, schedules, and documentation.
- Maintain accurate and up-to-date project records, trackers, logs, and supporting artefacts to enable effective project delivery.
- Act as a central coordination point for project information, ensuring materials are current, accessible, and correctly controlled.
- Where appropriate, take responsibility for delivering small, low-value, low-risk project activities or internal projects under the supervision of a Project Manager, operating within agreed scope, timescales, and tolerances, and escalating risks, issues, or changes as required.
Project Governance, Quality & Compliance Support
- Support Project Managers in the application of agreed project governance, controls, and reporting processes.
- Maintain project documentation in accordance with Providence’s Quality Management System (ISO 9001) and contract-specific requirements.
- Support compliance with project-specific processes including Health & Safety, PPE, environmental and governance processes, feedback management, and change control.
- Assist with internal and external assurance, audit, and review activities by maintaining accurate records and evidence packs.
Bid & Tender Support
- Provide administrative and coordination support to bid and tender activities as required, including document preparation, formatting, and collation of inputs.
- Coordinate the collection of bid inputs from internal teams and delivery partners, ensuring responses are complete, accurate, and provided to agreed timelines.
- Maintain bid trackers, opportunity logs, and submission calendars to support visibility of bid activity, progress, and deadlines.
- Monitor relevant tender portals and information sources to identify forthcoming and live opportunities aligned with Providence’s services.
- Log identified opportunities and prepare factual summaries, key dates, and supporting information for submission to the Bid Manager to enable formal triage and prioritisation.
- Support the maintenance of a bid library, including standard responses, templates, and reference materials, to improve efficiency and consistency across submissions.
- Assist with capturing and documenting lessons learned from bids and project delivery to support continuous improvement.
Stakeholder & Team Support
- Act as a coordination point between Project Managers, internal teams, suppliers, and partners as required.
- Attend industry events, trade shows, and customer engagements in a support capacity where appropriate to ongoing business activities.
Role Requirements and Eligibility
- Hold a full, valid UK driving licence and passport.
- This role is subject to security clearance. Guidance and support will be provided during the process.

Pay: £33,000.00-£36,000.00 per year
