Equine Receptionist

At Bearl Equine, our reception team plays a central role in the smooth running of the practice. We are looking for a friendly, organised and proactive individual to join our busy equine reception team, providing exceptional support to both our clients and clinical teams.
This is far more than a traditional reception role. Reception is the heart of the practice — the first voice clients hear, the calm reassurance during emergencies and the team that helps keep the day moving smoothly for vets, nurses and horse owners alike.
Working within a small and supportive team you will help coordinate the daily flow of appointments, communicate with clients, support our veterinary and nursing teams and ensure every interaction reflects the high standards of care we strive to provide.
We are looking for someone who is calm under pressure, genuinely enjoys helping people, has good equine knowledge and understands the importance of compassion, professionalism and teamwork within a busy equine environment.
Main responsibilities include:
- Answering telephone calls professionally, confidently and compassionately
- Managing appointments, visits and diary coordination using our practice management system
- Responding appropriately to routine enquiries and equine emergency calls
- Providing administrative and logistical support to the veterinary and nursing departments
- Supporting client care and ensuring information is communicated clearly and effectively
- Taking payments and following practice payment procedures
- Maintaining accurate computer records and clinical note inputting
- Processing incoming and outgoing post and deliveries
- Welcoming clients and visitors to the practice
- Working collaboratively with colleagues to support the ongoing development of the practice
Skills and experience:
- Good equine knowledge and understanding of the equine industry is essential
- Previous reception, administration or customer service experience
- Excellent communication and interpersonal skills
- The ability to remain calm, empathetic and organised in a fast-paced environment
- Strong attention to detail and accuracy
- Good computer literacy, including Microsoft Office/365 and diary management systems
- The ability to prioritise workload and multitask effectively
- Professional, courteous and team-focused approach
- Good local geographical knowledge would be advantageous

Hours & Salary
This is a permanent position working 25.5 hours per week across 3 days, between 8:30am and 5:00pm, with a paid one-hour lunch break.
Salary: £12.71 per hour
Experience & Skills
- Previous reception, administration or customer service experience essential
- Equine knowledge is essential, whether through horse ownership, previous equine work or practical equine experience
- Previous veterinary practice experience would be beneficial, including candidates from small animal practice looking to develop within equine practice
- Excellent communication and organisational skills
- The ability to remain calm, empathetic and professional in a busy environment
- Good computer literacy and attention to detail
- A positive and team-focused approach
