Role Clarification:
The Buyer plays a key role in ensuring the cost‑effective and timely procurement of goods and services across the organisation. The role focuses on operational purchasing, supporting supplier management, and contributing to value generation through sourcing and cost-conscious decision making.
Working closely with the Head of Supply Chain and wider team, the Buyer helps to apply and follow procurement processes and supports the delivery of a responsive, reliable supply chain function that aligns with business needs and operational requirements.
Duties and Responsibilities:
· Raise and manage purchase orders for goods and services in line with **approved business requirements**, demand forecasts, and risk considerations.
· Follow and apply established **procurement processes** and procedures, ensuring compliance by working with stakeholders.
· Ensure timely and accurate processing of orders, changes, and cancellations.
· Build and maintain effective working relationships with suppliers and internal stakeholders.
· Support supplier benchmarking and market checks, including identifying alternative suppliers where appropriate.
· Assist in monitoring supplier performance (delivery, quality, responsiveness) and escalate issues to the Head of Supply Chain or Senior Buyer as required.
· Support price and commercial discussions with suppliers, within agreed frameworks and delegation limits.
· Ensure agreed pricing, lead times, and basic terms are accurately documented on purchase orders and supporting records.
· Escalate complex or strategic negotiations to the Head of Supply Chain / Senior Buyer.
· Support stock management activities, such as working to agreed safety stocks, reorder points, and minimising duplication and obsolescence.
· Work with stakeholders to ensure adherence to inventory procedures, including goods receipt, stock checking, and usage reporting.
· Raise replenishment orders in line with stock policies and data from ERP/MRP systems.
· Identify and flag opportunities to improve procurement efficiency, reduce costs, and enhance supplier performance.
· Contribute to improvement initiatives led by the Head of Supply Chain / Senior Buyer (e.g. standardisation of parts, supplier rationalisation).
· Maintain an awareness of basic market trends and supply risks relevant to assigned categories.
· Work closely with internal departments (e.g. operations, engineering, finance) to ensure procurement activity is aligned with business needs.
· Provide clear and proactive communication on order status, delivery dates, and any issues.
· Support colleagues by explaining and reinforcing procurement processes and good practice.
· Maintain accurate procurement records (orders, quotations, supplier data).
· Contribute to reporting on procurement KPIs (e.g. on‑time delivery, savings, stock metrics) by providing reliable data.
· Ensure work is carried out in line with procurement policy, quality standards, and ethical sourcing requirements.
· Support the Head of Supply Chain and/or Senior Buyer in day‑to‑day procurement tasks and improvement projects.
· Provide cover for routine purchasing tasks during colleagues’ absence, within scope and capability.
Skills and Experience
Essential
· Experience in a buying or procurement role (or strong purchasing/administration experience in a relevant environment).
· Good negotiation and supplier relationship skills appropriate to an operational buyer level.
· Strong communication skills and ability to work effectively with internal and external stakeholders.
· Proficiency in procurement or ERP/MRP systems and Microsoft Office tools (Excel, Word, Outlook).
· Ability to work with data (prices, usage, delivery performance) to support cost‑effective decisions.
Desirable
· Experience with ERP/MRP systems and inventory control processes.
· Knowledge of basic procurement compliance, sustainability considerations, and risk awareness.
· Background in fast‑paced industries such as manufacturing, utilities, energy, or construction.
