Job Title: Facilities Logistics Assistant

Reporting to the Facilities Supervisor, the Facilities Logistics Assistant is responsible for providing operational and logistical support across the College estate.
The Courier is responsible for providing a safe, reliable and efficient transport and delivery service across all College sites. The role primarily supports College Catering Services through the collection and transportation of food, supplies and equipment between campuses, ensuring deliveries are completed safely and on time. The postholder will also support the wider College through the transportation of mail, packages, documents, furniture and equipment, whilst maintaining high standards of customer service and professionalism.
During periods of reduced courier demand, the postholder will support the Estates team with general operational activities appropriate to the grade of the role.
Responsible to: Facilities Supervisor
To take responsibility and be accountable for the following:
- Collect, transport and deliver food, catering supplies and equipment between College campuses, ensuring deliveries are completed safely, efficiently and in accordance with food hygiene and health and safety requirements.
- Work closely with Catering Department Leads to coordinate food deliveries and support the effective operation of catering services across all College sites.
- Collect, transport and deliver mail, packages, documents, equipment and materials between College sites in a safe, timely and professional manner.
- Maintain accurate records of deliveries, collections and vehicle usage.
- Ensure the College vehicle is maintained in a clean, tidy and roadworthy condition, carrying out routine vehicle checks and reporting defects promptly.
- Monitor and record vehicle mileage, servicing requirements and any maintenance issues, reporting concerns to the Estates Department.
- Ensure all College vehicles are secured, parked safely and operated in accordance with College policies and road traffic legislation.
- Provide a professional and customer-focused service to staff, students, visitors and external stakeholders.
- Resolve delivery-related issues promptly and escalate concerns where appropriate.
- Transport equipment and materials safely in accordance with manual handling procedures, risk assessments and College health and safety requirements.
- Adhere to all College policies and procedures, including Health and Safety, Safeguarding, Equality, Diversity and Inclusion, and Data Protection requirements.
- During periods of reduced courier activity, support the Estates team with general operational duties appropriate to the grade of the post. This may include room set-ups, porterage, furniture moves, stock checks, campus inspections, meter readings, delivery support and other non-specialist Estates activities.
- Work flexibly across College sites and assist with College events, enrolment activities, open events and other operational requirements as required.
- Carry out any other duties commensurate with the grade and responsibilities of the post as reasonably requested by management.
Essential Criteria:
- Full, clean UK driving licence
- Experience of driving and making deliveries
- Experience working within facilities, estates, caretaking, logistics or operational support services
- Good organisational and time management skills
- Ability to maintain accurate records using IT systems
- Strong communication and customer service skills
- Ability to work independently using initiative
- Understanding of Health & Safety requirements
- Flexible approach to work and changing priorities
Desirable Criteria:
- Experience supporting events and functions
- Experience within a catering, hospitality or food service environment
- Food Safety Level 2 Qualification
- Experience of undertaking building inspections or compliance checks
- Experience within an educational environment
- Basic facilities or building maintenance experience
