Full job description

HB Commercial is the area's leading independent commercial vehicle Service | Parts | Rentals | Sales | Tyres group.

We're looking for an enthusiastic Trailer Service Administrator to join our busy Trailer Division at our Head Office in Ipswich. You'll become part of a supportive administration team that keeps our trailer operation running efficiently and delivers outstanding customer service.

What you'll do:

Manage the service desk, handling phone calls, WhatsApp, and emails professionally in line with HB Commercial standards.
Create, issue, and manage trailer job cards, allocating work using our internal planning system.
Book stock in and maintain accurate service records, documentation, and reporting.
Liaise with customers, the workshop, parts, and service teams to coordinate work and ensure smooth service delivery.
Raise monthly trailer hire and rental invoices and prepare supporting cost reports.
Support customer enquiries, service scheduling, and provide cover for the Trailer Advisor team when required.

What we're looking for:

Excellent organisational and administration skills.
Strong attention to detail.
Good communication and customer service skills.
Confident using Microsoft Office, particularly Outlook and Excel.
Keen to learn systems we use to manage and monitor our trailer fleet.
A proactive team player who enjoys working in a fast-paced environment.

Previous experience within the commercial vehicle industry would be an advantage, but full training will be provided for the right person.

Salary - dependent on age and experience:

Starting £32,500.00 per annum

Hours - Full-time | On-site

Monday to Friday: 8:00am – 5:30pm (1-hour unpaid lunch)
Optional Saturday overtime: 8:00am – 12:00pm
