Full job description

Overview

We are looking for a proactive, organised, and motivated Lettings Administrator to join our busy and growing Lettings team in South West London.

This is an excellent opportunity for someone looking to build a long-term career within the property industry.

You will play a key role in supporting the day-to-day running of the Lettings department while gaining valuable hands-on experience in a fast-paced estate agency environment.

Training will be provided, along with genuine opportunities for career progression within a well-established and supportive team.

Responsibilities

Answer phone calls with excellent phone etiquette,
Attending potential tenants and taking their enquires.
Perform clerical duties including filing, data entry, and managing office correspondence.
Dealing with email/correspondence enquiries, general tenants’ requests, complaints and other needs and responding to individual emails received from tenants.
Collating and managing tenant references and KYC documents.
Preparations of tenancy agreements and notices relating thereto, for the residential department manager to review and approve before releasing it to tenants with all supporting documents via DocuSign.
Maintain organised records (e.g. paperworks, documents and computer-based information) and databases to ensure easy retrieval of information.
Filing on a regular basis and sundry office matters.
Post Office matters.
Photocopying and printing various documents, sometimes on behalf of other colleagues.
General office administration works.
Arranging check-in appointments and inventories checks (including key cut).
Conducting property viewings for prospective tenants.
Supporting the residential team (including cleaning, maintenance and repairs issues).
Liaise with staff in other departments and with external contacts (i.e. contractors).
Update and ensure tenancy records are up to date on the property management software (i.e. Reapit).
Assists the manager in relation to property licence applications and dealing with local authorities.
Greeting visitors professionally and directing them to the appropriate person or department.

Skills

Strong clerical skills with attention to detail and accuracy in data entry.
Proficient in using computerised systems and software, particularly Microsoft Outlook, DocuSign and Reapit.
Excellent organisational skills to manage multiple tasks effectively.
Ability to type quickly and accurately, ensuring timely completion of documents.
Strong administrative skills with a focus on maintaining an efficient office environment.
Good communication skills, both verbal and written, with a professional phone manner.
Experience in lettings, the property sector, administration, or customer service would be beneficial.
