Full job description

WPS Advisory is a modern financial advice business combining experienced advisers with technology that helps clients better understand and manage their finances. We work with clients across the UK, delivering financial planning that is practical, accessible and built around long term relationships.

Alongside traditional advice, we have invested heavily in technology to improve the way clients engage with their finances. Our LifeStage Money platform allows clients to view their finances in one place, supporting clearer conversations around spending, saving and long term planning. Technology supports our advisers, but relationships remain central to what we do.

Our focus is simple. Provide high quality advice, build strong client relationships and grow the business in a sustainable way.

We are currently seeking to recruit an IFA administrator for a hybrid role in our city centre office .

The Administrator plays a pivotal role in ensuring every client journey is delivered accurately, efficiently and professionally, acting as the central point of coordination between clients, advisers, providers and internal teams. Through excellent organisation, proactive communication and attention to detail, the role helps deliver a seamless client experience while maintaining the highest standards of regulatory compliance.

Key elements of the role:

1. Client administration and service delivery

a. Prepare and issue advice reports, application forms and supporting documentation accurately and efficiently.

b. Prepare documentation for ongoing financial reviews, gathering client and policy information to support advisers.

c. Ensure every client interaction reflects the firm’s commitment to outstanding service and client care.

d. Keep clients informed of the progress of their enquiries and transactions, responding promptly to queries.

2. Case management and implementation

a. Process new business and servicing transactions, including transfers, withdrawals, pension payments, benefit crystallisation events, fund switches and ongoing fee increases.

b. Liaise with providers to ensure recommendations are implemented accurately and without unnecessary delay.

c. Monitor workflows and deadlines, ensuring work is completed within agreed service levels and regulatory timescales, including CETV deadlines.

d. Maintain accurate client records and documentation throughout every stage of the client journey.

3. Operational excellence

a. Manage inbound and outbound correspondence, including telephone calls, emails and post.

b. Work collaboratively with advisers, Client Service Specialists and colleagues to ensure an efficient and joined-up service.

c. Support business projects, continuous improvement initiatives and wider operational activities as required.

d. Identify opportunities to improve processes, efficiency and the client experience.

4. Compliance and governance

a. Ensure all work complies with internal policies, FCA requirements and data protection standards.

b. Handle all client information securely, accurately and confidentially.

c. Maintain high standards of quality, accuracy and attention to detail across all work completed.

Key KPI’s for role:

· Achievement of agreed service level agreements (SLAs).

· Accuracy and quality of client administration.

· Timely completion of client transactions and case processing.

· Client service and satisfaction measures.

· Compliance with FCA and internal quality standards.

Qualifications and experience required:

· Previous experience in an administrative role within a financial advice or financial services environment.

· GCSE (or equivalent) in English and Mathematics.

· Strong working knowledge of Microsoft Outlook, Word and Excel.

· Experience of IO or similar back-office systems would be advantageous.

Key competencies for role:

· Excellent organisational skills, with the ability to manage multiple priorities while maintaining accuracy and attention to detail.

· Strong communication skills, building positive relationships with clients, providers and colleagues.

· Ability to deliver consistently high standards of client service with professionalism and empathy.

· Strong planning and coordination skills, ensuring work is completed accurately and within agreed timescales.

· Proactive and adaptable, with the ability to identify problems, take ownership and support continuous improvement.

· Confident using technology and learning new systems to improve efficiency and service delivery.

· High integrity and commitment to handling confidential information securely while maintaining FCA and regulatory standards.

· Enthusiastic about learning and developing within financial services, with a commitment to continuous improvement.

Job Types: Full-time, Permanent

Pay: £28,000.00-£32,000.00 per year
