Full job description

This role provides administrative and reception support to the Security Services team. The postholder will act as a first point of contact for staff, patients, visitors and contractors, delivering a professional and courteous service.

Duties include issuing and managing NHS ID cards, supporting access control systems, logging and reporting of security‑related faults, and handling telephone and face‑to‑face enquiries.

The post holders will be based at the University Hospital of Wales.

This post is a fixed term/secondment for 12 months
to cover maternity leave. If you are interested in applying for the secondment position, you must obtain permission from your current line manager prior to applying for this post.

The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

The duties will include undertaking a range of administrative and reception-based responsibilities within the Security Services team, supporting the effective delivery of a safe and secure healthcare environment. The postholder will act as a key point of contact for staff, patients, visitors and contractors, ensuring a professional and courteous service is provided at all times in line with NHS values.

Duties will include the issue, administration and monitoring of NHS identification cards and access passes, maintaining accurate records in accordance with data protection requirements. The role will involve operating and supporting electronic access control systems, processing access requests, and ensuring appropriate authorisation procedures are followed.

The postholder will also be responsible for receiving, logging and reporting faults, liaising with Security Officers, Estates, Facilities and other departments as required. The role will include responding to telephone and face‑to‑face enquiries, in a timely resolution.

It is essential that you have a good standard of general education, strong communication and organisational skills, and experience of dealing with the public in a busy healthcare environment, both face‑to‑face and via the telephone. You must demonstrate the ability to remain calm under pressure, maintain confidentiality at all times, and work in accordance with NHS policies, procedures and standards.
