Full job description

Part time role - Monday to Friday - 10.00 am to 3.00 pm (25 hours) - Event and Admin Assistant required for busy catering company!

We are looking for an organised and friendly Event & Admin Assistant, this varied office-based role will support the administration of corporate catering bookings, weddings and private events. You will communicate with clients, prepare quotations, process bookings, confirm final details and raise invoices, alongside providing general administrative support across the business.

Main responsibilities

Process new bookings and ensure all relevant information is entered accurately onto our bespoke system
Liaise with the Jaspers team in respect of our 3 franchise areas we manage for them - following the same corporate booking processes
Responding to corporate, wedding and event enquiries by telephone and email
Preparing quotations and processing new bookings
Liaising with clients and maintaining friendly, professional communication
Gathering and accurately recording menus, guest numbers, dietary requirements, timings and delivery details
Keeping client and booking records accurate and up to date
Raising and sending invoices
Following up outstanding enquiries, quotations and booking information
Preparing clear event handovers for the kitchen and operations teams
Assisting with shared email inboxes, telephone calls and general office administration
Supporting client meetings and menu tastings when required

About you

You will be:

Friendly, professional and confident communicating with clients
Highly organised with excellent attention to detail
Comfortable managing several tasks and bookings at once
Confident using email, Microsoft Word, Excel and Quickbooks
Reliable, positive and willing to learn
Able to work independently and as part of a team

Previous administration, customer service, catering or events experience would be beneficial, but training will be provided. Must be over the age of 21 and confident in driving company vans on occasion.
