Full job description

We are looking for a highly organised and professional Administrator to join our care home team on a 6-month fixed-term contract. This is a busy and varied role supporting the Home Manager with admissions, finance, payroll, recruitment, and general administration while ensuring the smooth day-to-day operation of the home.

Key Responsibilities

Manage resident admissions, discharges, and associated documentation.
Liaise with residents, families, healthcare professionals, and Head Office teams.
Process supplier invoices and maintain financial records.
Prepare monthly payroll information and administration reports.
Support recruitment activities, including arranging interviews, references, contracts, and PVG/DBS applications.
Maintain employee and resident records in line with GDPR requirements.
Manage petty cash, resident funds, and safe-keeping records.
Order supplies and maintain stock records.
Provide a welcoming and professional front-of-house service.
Prepare meeting agendas, minutes, and general correspondence.
Support debt management and account queries.
Ensure emergency evacuation records are maintained and up to date.

About You

Essential:

Previous administration experience.
Excellent organisational and communication skills.
Strong IT skills, including Microsoft Office.
Ability to handle confidential information with discretion.
Excellent attention to detail and ability to prioritise workloads.

Desirable:

Experience within a care home, healthcare, or social care environment.
Payroll or recruitment administration experience.
SVQ Level 3 Health and Social Care (SCQF Level 7) or equivalent.
