Hotel Receptionist

Location: Mercure Northampton

Reports To: Front Office Manager

Job Summary:

The Hotel Receptionist is the face of the hotel, responsible for ensuring a welcoming and efficient experience for guests. The primary role involves greeting guests, checking them in and out, handling guest inquiries, and managing various front desk administrative duties. The ideal candidate should be friendly, organized, and able to multitask while maintaining professionalism under pressure.

Key Responsibilities:

Guest Relations:
Greet guests warmly upon arrival and departure.
Handle check-in and check-out processes efficiently, verifying guest details and issuing room keys.
Provide information about hotel amenities, services, local attractions, and directions.
Respond to guest requests, inquiries, and complaints promptly and with a positive attitude.
Reservations:
Answer phone calls, emails, and in-person queries related to room reservations.
Enter and update guest information in the reservation system accurately.
Ensure smooth handling of last-minute bookings and cancellations as per the hotel policy.
Administrative Duties:
Maintain accurate records of daily bookings, guest accounts, and room status.
Process payments, issue invoices, and maintain the accuracy of financial transactions.
Collaborate with housekeeping and maintenance teams to ensure guest rooms are ready and issues are resolved promptly.
Handle basic front office equipment (phones, computers, credit card machines, etc.).
Customer Service Excellence:
Resolve guest complaints and ensure customer satisfaction.
Upsell additional hotel services, packages, or upgrades when appropriate.
Assist in managing lost and found inquiries.
Communication:
Liaise with various departments (housekeeping, maintenance, concierge, etc.) to meet guest needs and ensure smooth operations.
Relay important guest requests or special arrangements to the appropriate teams.

Skills and Qualifications:

Education: High school diploma or equivalent (Bachelor's degree in Hospitality Management or a related field is a plus).
Experience: Prior experience in customer service or hospitality (reception, concierge, or similar roles) preferred.
Skills:
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency in hotel management software (PMS) like Opera, Fidelio, or similar systems.
Basic math and cash-handling skills.
Problem-solving skills and ability to stay calm under pressure.

Ability to work flexible hours, including nights, weekends, and holidays.

Work Environment:
