Hanna IP is continuing to grow as a result of the provision of a professional but personal service in meeting and exceeding our clients’ expectations. Due to increased workload, we have a vacancy for a suitable candidate to help us with our expansion. We are currently seeking a Patent Administrator to join our team who is self-motivated and determined to acquire the knowledge and skills required for this position which is office based 5 days a week.
You will play a key role in supporting fee earners across patent, design and trade mark matters, ensuring that critical deadlines are met and client portfolios are managed efficiently.
Within this role you will have a number of responsibilities as detailed below, including updating and entering new cases and relevant important deadlines to our case management software system, managing the shared mailbox and patent mailboxes ensuring that all relevant actions are completed and delegating work to the relevant fee earners.
Key Responsibilities include
· Managing patent deadlines including adding and updating all patent deadlines to our case management software system
· Managing the shared email mailbox ensuring that all emails are forwarded to the relevant fee earner(s) and responded to in a timely and efficient manner
· Managing patent office mailboxes
· Processing important due date reports
· Processing EP Validations and grants
· Ensuring reporting letters are processed and charges are added to our case management software system
· Preparing documentation for filing at relevant patent offices (training will be provided)
· Acting as a PA (personal assistant) to other colleagues including scheduling appointments and meeting and greeting clients to the office.
· Liasing with our accounts department

· Excellent time management and the ability to prioritise workloads is essential to ensure deadlines are always met
· Being proactive and motivated is integral within this role for working as part of a dynamic team
· Working knowledge of UK, EPO and IPOI patent deadlines and processes preferred but not necessary
· CIPA qualification, advantageous
· University degree in law, business or STEM, preferable,
· Strong working knowledge of Microsoft Word, Excel and Outlook
· Willingness to learn new systems and processes
· Experience within IP, legal, or professional services environments
