Personal Assistant to Founder, About the Role:
I am looking for a highly organised, confident, discreet, and adaptable Personal Assistant to support the Founder across a wide group of companies.
The businesses operate across AI, technology, investment, property, private client work, and other fast-moving projects. This is not a typical corporate admin role. It is a close-support role for someone who is comfortable working directly with one person and helping keep both business and personal matters organised.
The right person will be polished, reliable, switched on, and able to handle a mix of tasks without needing constant direction. You should be comfortable being trusted with private information, communicating professionally, and making life easier behind the scenes.
This role would suit someone who is confident, presentable, discreet, proactive, and comfortable in a more relaxed but high-standard working environment.
The Role
You will act as a trusted right-hand support to the Founder, helping with day-to-day organisation, business admin, personal support, scheduling, communication, and follow-ups.
The role will include both business and personal tasks, so flexibility and discretion are important.
You will support with:
- Diary and calendar management
- Emails, calls, messages, and follow-ups
- Booking meetings, appointments, travel, restaurants, hotels, and logistics
- Organising documents, notes, reminders, receipts, and admin systems
- Personal errands and general life admin
- Coordinating with clients, suppliers, contractors, partners, and internal team members
- Tracking deadlines, payments, renewals, tasks, and important reminders
- Preparing meeting notes, summaries, and action points
- Helping keep multiple businesses and projects organised
- Acting as a professional point of contact when required
What We’re Looking For
We are looking for someone who is:
- Highly organised and reliable
- Confident, presentable, and professional
- Discreet and trustworthy with private information
- Comfortable working closely with a Founder
- Able to manage both business and personal tasks
- Proactive and able to use initiative
- Calm under pressure and able to adapt quickly
- Strong with communication by phone, email, message, and video call
- Comfortable speaking with clients, suppliers, contractors, and partners
- Good at following up and making sure things do not get missed
- Comfortable in a relaxed but high-standard environment
- Able to handle changing priorities without getting overwhelmed
Useful Experience
Previous experience in any of the following would be helpful:
- Personal Assistant
- Executive Assistant
- Administrator
- Office Manager
- Receptionist
- Client Relationship Manager
- Customer Service
- Operations Support
- Property Admin
- Finance/Admin Support
- Private household or private client support
Experience is useful, but the right personality, attitude, discretion, and reliability are just as important.
Tools & Skills
You should be comfortable using, or willing to quickly learn, tools such as:
- Google Workspace
- Microsoft Office
- Google Calendar / Outlook Calendar
- Gmail / Outlook
- Notion or task trackers
- Slack / Teams
- Zoom
- CRM systems
- Spreadsheets
- Document and file management systems
Ideal Candidate
The ideal candidate is someone who naturally notices what needs doing.
You are not someone who waits to be chased. You keep things moving, remind people, follow up, and make sure details are handled properly.
You are comfortable being trusted with private information and understand the importance of discretion. You can be professional when needed, but also relaxed, personable, and easy to work with.
This role would suit someone who wants to become a trusted right-hand person, not just someone looking for a basic admin job.
Working Style
This role may include a mix of remote, hybrid, and occasional in-person support depending on location and requirements.
Some days will be structured. Other days may be more varied, with last-minute tasks, changing priorities, and different projects happening at once.
You should be comfortable with variety and happy to support across both business and personal areas.
Requirements
- Excellent communication skills
- Strong organisation and time management
- High level of discretion and confidentiality
- Professional presentation and manner
- Ability to work independently
- Comfortable managing multiple tasks at once
- Good attention to detail
- Confident using basic admin and productivity tools
- Driving licence preferred but not essential
- Previous PA, EA, admin, client-facing, or support experience preferred
