The Role
As a Reservations Agent, you will play a key role in managing both individual and group reservations, ensuring all bookings are accurate, compliant with Hilton standards, and fully prepared for arrival. You will act as an important link between guests, clients, the Front Office team, Sales, Finance, and other hotel departments to ensure a seamless guest journey from booking through to departure.
This position requires excellent organisational skills, strong attention to detail, and the ability to manage multiple priorities in a fast-paced hotel environment.
Key Responsibilities
- Manage all aspects of individual and group reservations, ensuring bookings are accurately entered, maintained, and updated within Hilton systems.
- Coordinate group reservations from initial booking through to arrival and departure, including rooming lists, billing arrangements, deposits, and group information distribution.
- Conduct regular quality control checks on reservations and group bookings to ensure accuracy, compliance, and guest satisfaction.
- Monitor arrivals, departures, cancellations, no-shows, and booking modifications, taking appropriate action to resolve discrepancies and maximise revenue opportunities.
- Process deposits, payments, direct billing arrangements, invoices, and related financial documentation in line with company procedures.
- Prepare and distribute detailed group information to operational departments, ensuring all teams are fully informed of upcoming group requirements and special requests.
- Liaise with clients, guests, and internal departments to ensure all reservation details are communicated effectively and delivered accurately.
- Review availability, inventory controls, and room allocations to support occupancy and revenue objectives.
- Manage and respond to reservation enquiries received via email, telephone, and other communication channels in a timely and professional manner.
- Maintain accurate records, correspondence, and reservation files while ensuring all administrative tasks are completed efficiently.
- Monitor daily trace reports, follow-up activities, and outstanding actions to ensure all guest and client requests are completed within required timeframes.
- Support financial reconciliation processes, including cashier audits and reservation-related reporting.
What We're Looking For
- Previous experience in hotel reservations, front office, guest services, or a customer service environment is preferred.
- Excellent communication and interpersonal skills.
- Strong administrative and organisational abilities with exceptional attention to detail.
- Ability to work independently and as part of a team.
- Confident using computer systems and hotel reservation platforms.
- A proactive approach to problem-solving and guest satisfaction.
