Job Summary
We are seeking a highly organised and detail-oriented individual to support the Directors in managing daily operations within our organisation. This role involves providing administrative assistance, maintaining accurate records, and ensuring smooth communication across teams & with customers. The ideal candidate will possess strong organisational skills, proficiency in Google workspace (Although training will be given), and excellent communication abilities to contribute effectively to our team.
We are a growing business that has ambitious plans. A team of 9 and several hundred local customers, our goal is to double in size over the next two years.
Responsibilities
- Must have a good telephone manner & be confident calling existing & potential customers
- Handle data entry tasks with accuracy using Google Workspace tools (Similar to Microsoft spreadsheet etc)
- Prepare and organise documents, reports, and correspondence in a professional manner
- Utilise QuickBooks for financial record keeping and invoicing processes - training will be provided on Quickbooks invoicing
- Assist with general administrative duties including filing, photocopying, and organising office supplies
- Respond to phone calls with proper etiquette, taking messages or redirecting as necessary
- Support the team with clerical tasks such as email management and document formatting
- Ensure all records are up-to-date and easily accessible for reference and audit purposes
Skills
- Proven experience with administrative roles or office experience
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with QuickBooks for bookkeeping and financial management
- Strong organisational skills with the ability to prioritise tasks effectively
- Excellent data entry skills with high accuracy and attention to detail
- Good phone etiquette and professional communication skills
- Ability to type quickly and efficiently to meet workload demands
- Demonstrated ability to manage multiple responsibilities in a fast-paced environment
