About the Role

We’re looking for a highly organised and proactive Workshop & Fleet Administrator to support the smooth running of our busy workshops and the management of both our internal fleet of around 450 assets and a growing portfolio of external customer fleets.
Our assets include cars, vans, trucks, trailers, and a variety of specialist equipment — so this is a role for someone who thrives in a fast-paced environment and enjoys keeping complex operations running like clockwork.

Key Responsibilities

Coordinate day-to-day administration for the workshop, ensuring all jobs are logged, scheduled, and completed efficiently.
Maintain accurate records for approximately 450 internal fleet assets, including service schedules, MOTs, inspections, repairs, and compliance documentation.
Support the management of external customer fleets, providing timely updates, documentation, and excellent customer service.
Liaise with technicians, drivers, suppliers, and customers to ensure smooth communication and workflow.
Monitor and update fleet management systems, ensuring data accuracy at all times.
Process purchase orders, invoices, job cards, and warranty claims.
Assist with planning preventative maintenance and ensuring all vehicles remain compliant with legal and company standards.
Produce reports on fleet performance, workshop activity, and compliance status.
Support the Workshop Managers with general administrative duties and operational coordination.

About You

Experience in fleet administration, workshop administration, transport operations, or a similar environment.
Strong organisational skills with the ability to manage multiple priorities.
Confident communicator who can work effectively with internal teams and external customers.
Comfortable working with fleet management or maintenance software (training provided if needed).
High attention to detail and a proactive approach to problem-solving.
Knowledge of compliance requirements for cars, vans, trucks, and trailers is an advantage.
