We are a privately owned property investment and management company based in Plymouth, managing our own portfolio of residential, student and commercial properties.
Unlike many letting agents, we do not manage properties for third-party landlords. Our focus is entirely on maintaining and improving our own portfolio, giving our team the opportunity to work in a professional, stable and well-organised environment.
Due to continued growth, we are looking for an organised and detail-oriented Property Administration & Accounts Assistant to join our office team.
The Role
This is a varied administrative role that combines property administration, office support and bookkeeping assistance.
You will work closely with the directors and management team, helping to ensure that our property records, financial information and office systems remain accurate, organised and up to date.
This position would suit someone who enjoys administration, is confident using Microsoft Office 365, and has experience working with figures and financial records.
Key Responsibilities:
Property Administration
· Managing property records and digital filing systems.
· Preparing tenancy and property documentation.
· Updating compliance records and certificates.
· Assisting with tenant administration and correspondence.
· Coordinating maintenance requests and contractor appointments.
· Handling telephone and email enquiries.
· Maintaining property databases and spreadsheets.
· Supporting general office administration.
Accounts & Bookkeeping Support
· Processing purchase invoices and supplier payments.
· Recording rental income and maintaining financial records.
· Assisting with bookkeeping tasks.
· Supporting accounting records.
· Monitoring utility accounts
· Assisting with monthly reporting.
Microsoft 365 & Office Systems
· Managing Outlook email systems.
· Maintaining OneDrive filing structures.
· Preparing documents using Word.
· Producing and updating Excel spreadsheets.
· Supporting Teams-based communication and administration.
About You:
Essential Skills
· Excellent organisational skills and attention to detail.
· Strong Microsoft Office 365 skills.
· Good knowledge of Outlook, Excel, Word, Teams and OneDrive.
· Strong written and verbal communication skills.
· Ability to manage multiple tasks and prioritise workload.
· Professional, reliable and trustworthy approach.
· Comfortable working with numbers and financial information.
Desirable Skills
· Previous administration experience.
· Bookkeeping or accounts experience.
· Experience with Xero and Dext,
· Property industry experience.
· Understanding of VAT and accounting procedures.
