Due to continued growth, we're looking for an organised, proactive and personable Operations Coordinator to become an integral part of our team.
About the Role
This is much more than a traditional administration role.
You'll become the operational hub of the business, combining project coordination, office administration and PA support to help keep the company running efficiently.
Working closely with the Director, you'll coordinate reactive maintenance, planned works and major projects across residential, commercial and care sector buildings, ensuring projects run smoothly from enquiry through to completion.
No two days are the same. One morning you may be arranging emergency attendance following a water ingress issue. Later that day you could be coordinating contractors for a major refurbishment project, preparing quotations, raising invoices, organising site access or updating clients on project progress.

Key Responsibilities
Operations Coordination
- Coordinate reactive repairs, planned maintenance and major works.
- Schedule subcontractors and engineers across multiple live projects.
- Arrange site access with managing agents, residents, commercial clients and care providers.
- Monitor project progress and ensure clients receive regular updates.
Office Administration
- Manage incoming telephone calls and emails.
- Prepare and issue quotations.
- Raise invoices and assist with payment tracking.
- Maintain accurate project records and documentation.
- Update job management systems and spreadsheets.
- Support supplier administration and general office management.
Director Support
- Assist with diary management and scheduling.
- Help prioritise workloads and daily operations.
- Provide administrative support to the Director.
- Assist in improving office systems and processes.
- Schedule subcontractors and engineers across multiple live projects.
- Arrange site access with managing agents, residents, commercial clients and care providers.
- Monitor project progress and ensure clients receive regular updates.
About You
You'll probably have experience in property maintenance, construction, facilities management, property management, housing or another trades-based environment.
You will have:
- Experience coordinating contractors, engineers or maintenance works.
- Excellent organisational and communication skills.
- Strong administration skills with excellent attention to detail.
- The ability to manage multiple priorities in a fast-paced environment.
- Confidence communicating with clients, contractors and suppliers.
- Good Microsoft Office skills.
