Executive Office Coordinator
Full-Time | Office Based
We are looking for an experienced, highly organised and proactive professional to join our team in a varied and rewarding role supporting our senior leadership team.
This is not a standard administration position. You will play a key role in the day-to-day running of the business, providing executive support to our Directors while assisting with office operations and financial administration.
The successful candidate will be confident working in a fast-paced environment, able to manage multiple priorities and capable of using their own initiative. We are looking for someone who is naturally organised, solutions-focused and enjoys taking ownership of their work.
The Role
Working closely with the Directors, you will provide high-level administrative support while helping to ensure the smooth and efficient running of the office.
Your responsibilities will include:
- Providing executive support to the Directors, including diary management, correspondence and meeting coordination.
- Preparing professional reports, presentations and business documents.
- Managing confidential information with discretion and professionalism.
- Handling purchase invoices, sales invoicing and supplier statements.
- Processing payments, assisting with credit control and reconciling accounts.
- Supporting month-end processes and liaising with the company’s external accountants where required.
- Maintaining accurate financial and administrative records.
- Ordering office supplies and overseeing the day-to-day administration of the office.
- Coordinating projects and ensuring actions are completed on time.
- Acting as a key point of contact for staff, customers and suppliers.
- Identifying opportunities to improve systems, processes and office efficiency.
- Providing support across different areas of the business as required.
About You
We’re looking for someone who is confident, dependable and thrives on variety.
Essential requirements:
- A minimum of 12 months’ experience in a similar senior administration, Executive Assistant, PA, Office Manager or executive support role.
- Previous accounts experience, including purchase ledger, sales invoicing, reconciliations, credit control and general bookkeeping.
- A full, clean UK driving licence and access to a vehicle, with the flexibility to travel between company sites when required.
- Excellent organisational skills with exceptional attention to detail.
- Strong written and verbal communication skills.
- The ability to prioritise a varied workload and remain calm under pressure.
- Excellent IT skills, particularly Microsoft Outlook, Word and Excel.
- The ability to work independently and use your own initiative.
- A professional, positive and approachable manner.
- The highest levels of discretion and confidentiality.
Desirable:
- Experience using accounting software such as Sage, Xero or QuickBooks.
- Experience working within a busy SME or supporting senior directors.
