Job Summary
We are looking for a proactive and highly organised Maintenance Coordinator / Administrator to oversee and support the day-to-day operational duties within our Maintenance Department. This is a key role that ensures works are carried out promptly and efficiently. The successful candidate will work closely with the wider team, coordinating maintenance activities, monitoring operational requirements and providing support to staff and management accross the department. Strong organisational skills, attention to detail and the ability to prioritise workloads are essential. Key Responsibilities:
- To co-ordinate and schedule engineers reactive day-to-day works using on-line systems, email and phone communications.
- Ensure job numbers are raised on receipt of Purchase Orders and issued accordingly to engineers.
- Cross reference weekly timesheets against internal systems for accuracy.
- Book accommodation for engineers where required.
- Liaise daily with clients, responding to queries and job requests.
- Invoice completed works in a timely manner, ensuring all costs are accounted for and correct.
- Collaborate with other departments to plan maintenance activities around engineers schedules.
- Archieve records as required.
- Undertake general administrative tasks as required.
- Excellent organisational skills with attention to detail in record keeping and reporting.
Candidates must possess the following:
- Computer literacy: Word, Excel and Outlook.
- High attention to detail and organisational skills.
It would be advantageous to possess the following:
- Previous co-ordination / administrative / Sage experience.
