Participation in a shared weekend telephone support rota is required. This is compensated separately through overtime and bonus arrangements.
Salary:
£28,000 per annum plus additional overtime and bonus earnings through the weekend call support rota.

Role Purpose
The Operations & Workplace Controller is responsible for supporting the day-to-day operations of Border Vending Group, ensuring the smooth running of office administration, customer service, service management and employee support functions.
The role acts as a central point of communication between customers, operators, engineers, suppliers and management, helping to ensure excellent service delivery and operational efficiency across the business.
This is a key position within a fast-paced, growing organisation and requires a highly organised, proactive, and professional individual with strong communication and administrative skills.
Key Responsibilities Operations Support
- Manage incoming service calls and customer requests.
- Allocate service calls to engineers and vending operators.
- Monitor and track service jobs through to completion.
- Assist with route planning and operational scheduling.
- Support the management team with day-to-day operational activities.
- Maintain accurate records of service calls, customer requests and operational activities.
- Produce reports and management information as required.
Reception & Customer Service
- Act as the first point of contact for visitors, customers and suppliers.
- Handle incoming telephone calls and email enquiries professionally.
- Provide excellent customer service and ensure customer issues are resolved efficiently.
- Liaise with customers regarding service updates and operational matters.
Human Resources Administration
- Manage employee holidays, absences and records using BrightHR.
- Support employee onboarding and induction processes.
- Assist with recruitment administration and interview scheduling.
- Maintain accurate personnel records and documentation.
- Support managers with employee administration requirements.
Administration & Office Management
- Organise meetings and maintain meeting records where required.
- Maintain office filing systems and operational documentation.
- Ensure office supplies and equipment are adequately stocked and maintained.
- Support business improvement projects and administrative initiatives.
- Assist with health and safety administration and compliance activities.
Weekend Call Support
- Participate in a shared out-of-hours telephone support rota.
- Handle customer service calls through the company telephone diversion system.
- Escalate urgent issues to the appropriate operational personnel where necessary.
- Maintain a professional and customer-focused approach at all times.
Skills & Experience RequiredEssential
- Previous experience in an office administration, operations support or customer service role.
- Excellent organisational and time management skills.
- Strong communication skills, both written and verbal.
- Professional telephone manner.
- Ability to work effectively under pressure and manage multiple priorities.
- Strong attention to detail and accuracy.
- Good problem-solving abilities.
- Ability to work independently and as part of a team.
IT Skills
The successful candidate must be confident using computer systems and Microsoft Office applications.

- Data entry and reporting systems
Applicants should have experience creating and maintaining spreadsheets and be comfortable using:
- Excel formulas
- Hyperlinks

The ability to quickly learn new software systems is essential.
Desirable
- Experience using BrightHR or similar HR software.
- Previous experience within a service management, logistics, facilities management or operational environment.
