The Opportunity
Elixier Diagnostics is preparing to open its doors in Preston. This means you will have the rare opportunity to join at the very beginning — helping to shape the patient experience, the day-to-day rhythm of the centre and the culture of a team that is being built with real intention.
You will be the first point of contact for every patient, referrer and visitor — by phone, email and in person. Your warmth, calm professionalism and attention to detail will set the tone for the entire patient experience, from the first booking call to the moment results are safely communicated.
This role combines front-of-house reception, patient administration and general administrative support within a professional clinical environment. Accuracy, organisation, confidentiality and a calm, patient-focused approach are essential.
You will be supported by clear procedures, thorough induction and ongoing training — and you will have real scope to grow with us as the service develops.
What You’ll Be Doing
Patient welcome and front-of-house
- Welcome patients, visitors, referrers and contractors in a calm, professional and friendly manner, including those who may be anxious, distressed or unfamiliar with private diagnostics
- Manage the reception desk, telephone, email and online enquiries — responding promptly and using approved scripts and information
- Explain appointment processes, preparation instructions, fees and general service information clearly and accurately
- Identify patients’ accessible communication needs and record or escalate these appropriately
- Maintain patient dignity, privacy and confidentiality at all times
- Ensure the waiting area is safe, tidy and welcoming throughout the day
Booking, registration and identity verification
- Book, amend and cancel appointments for GP consultation, ultrasound, X-ray, DEXA, CBCT and phlebotomy using approved systems
- Record patient demographics accurately — including full name, date of birth, address, contact details and GP details
- Verify patient identity using approved identifiers before appointments and before sharing any information
- Issue appointment confirmations, preparation instructions and follow-up information through approved channels only
- Escalate urgent or concerning information received during booking to the appropriate clinician in line with procedures
Referral and results administration
- Receive referrals through approved routes, check that required fields are complete and flag incomplete or unclear referrals to the relevant clinician
- Support tracking of referrals, appointments, reports and result communications
- Ensure reports and results are sent only through approved secure channels to verified recipients
- Maintain logs for outstanding results, urgent communications and follow-up actions
- Refer all clinical questions and diagnostic queries to the appropriate clinician
Information governance and records
- Follow Elixier’s Information Management and UK GDPR policies at all times
- Maintain accurate, contemporaneous and secure administrative records
- Use only approved email, Electronic Health Record (EHR), booking and document systems for patient-related communication.
- Report suspected data breaches, misdirected emails or confidentiality concerns immediately
Payments and administrative processes
- Process patient payments, receipts and invoices in line with approved procedures
- Explain pricing transparently using the approved price list
- Manage routine correspondence, scanning, filing and document upload tasks
- Assist with maintaining registers, logs and trackers as directed by the Administration Lead
Health, safety and infection prevention
- Maintain a safe, clean and well-presented reception and administrative work area
- Follow hand hygiene and infection prevention requirements appropriate to your role
- Report hazards, incidents, near misses, aggressive behaviour or premises concerns promptly
- Support visitor and contractor sign-in processes and understand emergency procedures, including fire evacuation and calling 999
Safeguarding and patient safety
- Complete safeguarding adults and children training appropriate to the role
- Recognise and escalate safeguarding concerns — including concerns involving children, vulnerable adults, coercion or abuse — without delay
- Support chaperone arrangements only if trained and authorised to act as a chaperone
- Escalate medical emergencies, red-flag symptoms, severe distress, complaints or incidents immediately
What We’re Looking For
Essential
- GCSE English and Maths or equivalent
- Good standard of written and spoken English
- Experience of front-desk, reception or customer-facing role
- Strong communication and customer-service skills
- Confident, calm and professional telephone and front-of-house manner
- Accurate data-entry skills and high attention to detail
- Ability to handle sensitive information with discretion
- Basic IT skills including email, Microsoft Office and the ability to learn new clinical and booking systems
- Proven ability to follow Standard Operating Procedures (SOPs), escalation processes and approved guidance
- Calm and professional approach when dealing with anxious or dissatisfied patients
- Right to work in the UK
- Satisfactory enhanced DBS disclosure (applied for before commencement)
- Satisfactory references from at least two referees (including most recent employer)
Desirable
- Any relevant healthcare, medical administration or patient-facing qualification
- NVQ Level 2 in Business Administration or a related field
- Knowledge of UK GDPR principles and data protection obligations in a healthcare context
- Experience using EHR, booking, payment or CRM systems
- Chaperone training
- Basic life support or first aid awareness
- Familiarity with CQC-regulated environments
