About ACWW:

ACWW is an international non-governmental organization which works to amplify the voices of rural women globally. Our small Central Office team work with member organisations and individuals in the UK and around the world to ensure that rural women are represented, recognized for their critical importance in society, and have a platform to influence policy-makers. We combine advocacy and small-scale, women-led development projects designed by the local women who will implement them.

We are starting a new administrative cycle 2026-2029 following the recent Triennial World Conference, and we are excited to be recruiting a new part time Finance Manager to join our Central Office team.

Role overview

We are seeking an experienced, enthusiastic, proactive and detail-oriented Finance Manager to provide crucial support on a range of key finance functions for which you would be responsible for leading the day-to-day finance operations and prepare management information of the organisation, whilst supporting the effective financial management of the organisation. The postholder will report to the Executive Director and line manage the Finance Officer. This role has significant responsibility for the preparation of high-quality management information, financial reporting, budgeting, forecasting and financial compliance. The postholder will play a key role in supporting operational decision-making through the provision of timely, accurate and meaningful financial information. The role requires strong experience in charity finance.

Part-time 21 hours per week, annual salary £45,000 pro rata

JOB DESCRIPTION

Financial Management & Reporting

· Prepare high-quality management information including:

o Monthly & quarterly management accounts

o Annual accounts and year-end schedules, working closely with the Executive Director, Honorary Treasurer and external auditors

o Annual budget and project budget monitoring reports

o Cashflow reporting and reforecasts

· Produce regular financial reports, forecasts and projections, including analysis and review of variances for the Executive Director and review by the Budget & Finance Working Group.

· To lead on and work closely with the Honorary Treasurer and Executive Director on annual Budget setting cycle and preparation for review and approval by the Board.

· Building and maintaining relationships with budget holders and other staff and supporting them with day-to-day budget management and monitoring.

· Produce quarterly budget expenditure and variance reports for budget holders.

· Support the project and development teams with financial information to support project and/or fundraising bids, and meeting reporting timelines or requirements.

Financial Controls, Compliance & Governance

· Develop, implement and maintain effective financial procedures, systems, controls.

· Develop monthly and quarterly internal compliance controls for budgets, reconciliations and financial reporting.

· Support the Executive Director with the annual cycle reviews of organisational policies including the Risk Register, Finance Manual and other finance related policies.

· Lead the preparation and coordination of the annual audit process, liaising closely with external auditors in the production of statutory accounts.

· Ensure compliance with Charity Commission, HMRC and other statutory reporting bodies and requirements.

· Oversee the preparation and submission of quarterly VAT returns and submit using My Digital Software.

· Lead on the administration of Gift Aid claims and legacy income.

· To oversee the sales and purchase ledgers, day to day book-keeping and reconciliation tasks carried out by the Finance Officer.

· Prepare month-end payroll, prepayment, accruals and reconciliation journals.

· Support the Executive Director in identifying financial risks and potential mitigations.

Payroll & Finance Operations

· Support the development, implementation and control of payroll systems and processes.

· Process payroll inhouse or oversee the preparation of payroll information where processed by an external provider.

· Oversee weekly payment runs, international payments, bank mandates and processing of membership payments and responding to finance related queries.

Systems & Process Improvement

Director to ensure there is an effective system of financial controls; implementing and improving financial processes in terms of control, efficiency and consistency

· Identify, develop and implement improvements to finance systems, controls and processes.

· Manage cash and cash flow forecasting.

· ACWW is considering alternative accounting software to improve efficiency. To research and advise, source and manage transition and integration of new accounting software (e.g. Quickbooks, Zoho or Xero) once decision made.

· To proactively update your own knowledge in relation to the role, identifying and undertaking appropriate training; and to support the Finance officer in their professional development.

· To keep up to date with legislation, policies and procedures relevant to the role and ACWW’s work.

· To undertake other duties as necessary and reasonably requested.

PERSON SPECIFICATION

We welcome applications from individuals who have/are:

· a qualified accountant (ACA, ACCA, CIMA or equivalent by experience QBE).

· Significant experience in finance management roles in the not-for-profit sector or membership organisation.

· Experience in supporting or leading on aspects of the year-end process including producing year end schedules, accounts and liaising with the auditors.

· Experience of improving financial controls and processes and using technology or automation to improve efficiency (strong knowledge of automated accounting software and Excel).

· Strong knowledge of payroll, VAT and financial compliance processes.

· Excellent analytical skills and high attention to detail.

· Strong verbal and written communication skills at all levels and especially with communicating financial information clearly to non-finance stakeholders.
